How to Connect HighLevel to Shopify Step by Step

The current way to connect HighLevel to Shopify with OAuth, what syncs into the CRM, why the old custom app token method changed and how to fix common issues.

To connect HighLevel to Shopify, open your HighLevel sub-account, go to Settings, then Integrations, then Shopify, click Connect, enter your store URL, choose what to import and sync, then approve the app inside Shopify. The current connection uses an OAuth app, so you no longer need to create a Shopify custom app and paste an Admin API access token. Once connected, contacts, orders, transactions, products and collections can flow into HighLevel and trigger automations.

This guide covers the current steps, what syncs and what does not, the older custom app method and why it changed, and how to get the integration working reliably.

What HighLevel and the Shopify API each do

HighLevel is a CRM and marketing automation platform used for lead capture, pipelines, email and SMS campaigns, and workflows. Shopify runs the store: products, checkout, payments and orders. The Shopify Admin API is how outside systems read and write that store data, and webhooks are how Shopify tells other systems that something happened, such as a new order.

Connecting the two means every buyer and order in Shopify can appear as a contact and transaction in HighLevel, where you can segment customers, run follow ups and track lifetime value without exporting spreadsheets.

How the connection changed

Older guides tell you to enable custom app development in Shopify, create an app, grant read_orders and read_products scopes, reveal the Admin API access token and paste it into HighLevel. That method is now legacy for two reasons:

  • Shopify changed custom apps. Shopify's developer documentation on legacy custom apps states that new custom apps can no longer be created in the Shopify admin. Existing admin created apps keep working, and new ones are made through the Dev Dashboard or Shopify CLI.
  • HighLevel moved to OAuth. HighLevel's own Shopify integration guide now uses an OAuth app, where you approve permissions on a Shopify install screen instead of copying a token.

If you already connected through the custom app method, HighLevel says the connection may keep working. Do not disconnect it until you are ready to reconnect through the OAuth flow.

How to connect HighLevel to Shopify, step by step

Before you start, make sure you have admin access to both the HighLevel sub-account and the Shopify store, and know the store's exact name or myshopify URL.

  1. Open the integration. In your HighLevel sub-account, go to Settings, then Integrations, and find Shopify.
  2. Click Connect.
  3. Enter the store. Type your Shopify store URL or store name exactly as it appears in Shopify, then click Next.
  4. Choose historical imports. On the Import Elements screen, pick which existing records to bring in once: contacts, orders, transactions, products and collections.
  5. Choose ongoing sync. On Sync Settings, choose what keeps syncing after setup, such as contact sync, order sync, transaction sync, product sync and collection sync, along with the order received and payment received triggers.
  6. Save and authorize. Click Save. HighLevel redirects you to Shopify's Install app screen.
  7. Approve in Shopify. Review the requested permissions and click Install.
  8. Confirm the connection. Shopify sends you back to HighLevel, where the store now shows as connected.

Place a test order afterwards and check that the contact, order and transaction appear in HighLevel and that any workflow you attached fires.

What syncs between Shopify and HighLevel

DataWhat happens in HighLevelThings to know
ContactsShopify customers become contacts, with tags carried acrossStandard fields only fill when empty and never overwrite existing values
OrdersOrders sync with a completed or cancelled statusDraft orders do not affect contact fields
TransactionsEach order creates one transactionRefunds update lifetime value but not order count
Products and collectionsCatalog data imports and stays in syncTaxes are not mapped on products
Custom fieldsShopify customer ID, lifetime value, order count, first and last order datesAll contact fields sync; you cannot opt out of individual fields

HighLevel also notes that turning off a sync setting later does not remove data already imported, and that its older Shopify abandoned cart and order fulfilled triggers are being replaced by newer ecommerce triggers. Use the newer triggers for any new automation. Stores on Shopify's Basic plan can sync customer and order data through the OAuth connection without upgrading.

What you can do once the stores are connected

Post purchase follow up

Use the order received trigger to send a thank you message, ask for a review after delivery or offer a related product. Because the trigger fires from real Shopify orders, timing stays accurate.

Segmentation by value

The lifetime value and order count fields let you build smart lists: first time buyers, repeat customers, high value customers and lapsed buyers. Each can get a different campaign.

Abandoned checkout recovery

Set up the newer abandoned checkout trigger to run email and SMS reminders. Keep the sequence short and respectful, and stop it as soon as the order is placed.

Sales pipeline for wholesale or high ticket orders

If some orders need a human follow up, such as trade customers or large quotes, route them into a HighLevel pipeline so your team can track the conversation alongside the purchase history. This is the kind of workflow our sales automation work focuses on.

Best practices for a reliable integration

  1. Write down the objective. Decide which data you actually need in HighLevel and what each automation should achieve before switching everything on.
  2. Clean up contacts first. Duplicate emails and phone numbers in either system cause messy merges. Deduplicate before the first import.
  3. Import history selectively. Bringing in years of orders can flood automations. Make sure workflows do not fire on historical imports.
  4. Respect consent. Only market to contacts who agreed to it, and check how email and SMS consent is handled in your setup.
  5. Test with real orders. Run test orders, refunds and cancellations and confirm the fields update as expected.
  6. Document the setup. Record which triggers, workflows and custom fields depend on the integration, so the next person can troubleshoot.

Troubleshooting common problems

  • The store will not connect. Check that you entered the exact store name or URL and that you are logged in to Shopify as a user with permission to install apps.
  • Customer or order data is missing. If you still use the legacy custom app connection on a Basic plan store, HighLevel says you need to reconnect through OAuth to access protected customer data.
  • Contact details look out of date. Standard contact fields only fill when empty, so existing HighLevel values are not overwritten by Shopify.
  • Old workflows stopped firing. Move automations from deprecated Shopify triggers to the current ecommerce triggers.

When the native integration is not enough

The built in connector covers the common cases. Some businesses need more: custom fields from product metafields, B2B pricing data, several stores feeding one CRM, or data from an ERP as well. In those cases, a small custom app built in the Shopify Dev Dashboard, or a middleware layer, can push exactly the data you need. Related work such as payment integration and CRM migration often comes up when you are moving or combining systems.

Getting help with your Shopify and CRM setup

Connecting HighLevel to Shopify takes minutes, but getting clean data and automations that fire at the right moment takes planning. Codeeo's Shopify developers set up and extend store integrations, and a platform fit review can tell you whether the native connector or a custom build suits your store.

Frequently asked questions

No.

HighLevel's current Shopify integration uses an OAuth app, so you start the connection in HighLevel and approve it on Shopify's install screen. The older method of creating a custom app and pasting an Admin API access token is legacy. Shopify also no longer lets merchants create new custom apps in the admin, which makes the OAuth route the practical choice.
