Document software for Jeddah's traders, forwarders and Umrah service companies.

Jeddah runs on paperwork that crosses borders: invoices and bills of lading for cargo at the port, agency agreements with overseas brands, permits for factories and passport copies for pilgrims passing through on their way to Makkah. Codeeo delivers document management software development Jeddah businesses can shape around those flows. We build systems that file each document against the shipment, contract or customer it belongs to, find it again in Arabic or English, and show who handled it, so a missing certificate never holds up a container or a group arrival.

We work with Jeddah clients from our Riyadh and Dubai teams, running discovery and launch sessions by video call. Codeeo has a team of 80+ across Dubai, Riyadh and Karachi and has delivered 200+ projects across the UAE and the US.

Built around trade and travel

What a Jeddah document system has to handle.

Jeddah is the Kingdom's main Red Sea gateway. Cargo arrives at Jeddah Islamic Port, pilgrims land at King Abdulaziz International Airport, and long established family trading groups manage agencies for brands from across the world. Each of these activities produces documents that come from outside the company, often in English, Chinese or Urdu as well as Arabic, and often as a photo on a phone rather than a clean PDF. Customs clearance now runs through ZATCA's FASAH platform, which asks importers for a commercial invoice and bill of lading and rewards those who file before the ship berths. The system we build for a Jeddah client therefore starts with intake: catching documents from email, scanners and phones, recognising what they are, and attaching them to the right shipment, contract or traveller group before anyone has to ask where they went.

Explain your project
  • Shipment file by bill of lading

Every inbound or outbound consignment gets its own file keyed to the bill of lading or airway bill number. Invoices, packing lists, certificates of origin, conformity certificates and delivery orders attach to it as they arrive, and the file shows at a glance which documents are still missing. Containers moving on from Jeddah to Riyadh or the Eastern Province by road keep the same file, so the inland leg is documented too.

One place to check before the vessel arrives.

  • Pre-arrival readiness check

For importers and brokers using FASAH, the system compares each shipment file with the documents your broker needs and flags gaps days before berthing. Brokers can be given access to the specific file rather than a shared folder of every shipment you have ever moved. Your team sees a daily list of vessels due at Jeddah Islamic Port with incomplete files at the top.

Declarations are filed early instead of chased late.

  • Inbox and supplier capture

Suppliers and shipping lines send documents by email in every format imaginable. A monitored mailbox reads attachments, uses OCR to pick out invoice and container numbers in Arabic or English, and suggests the shipment file they belong to, leaving staff to confirm rather than retype.

Fewer hours spent dragging attachments into folders.

  • Agency and distribution agreements

Trading houses that represent foreign brands keep agency agreements, Ministry of Commerce registration records, renewal letters and territory terms together for each principal. Owners are reminded ahead of expiry, and management can see every obligation to a brand in one view.

Brand relationships are never put at risk by a lapsed document.

  • Group company records

Family groups in Jeddah often run many legal entities. Each entity has a profile holding its commercial registration, chamber membership, Zakat and VAT certificates, bank letters and authorised signatories, with expiry alerts and a single dashboard for the group's corporate affairs team. Board resolutions and powers of attorney are linked to the entity they concern, with the signatories they authorise.

The group secretary knows the status of every entity.

  • Pilgrim group documents

Umrah service companies collect passports, visas, travel and accommodation bookings for each group. We store these in tightly restricted workspaces, limit who can open identity copies, and delete them on a schedule once the group has returned home and your retention period ends. Group leaders in the field can check their group's documents on a phone without downloading them.

Personal data is held only as long as it is needed.

  • Phone capture at the warehouse

Drivers, warehouse supervisors and site staff photograph signed delivery notes, damage reports and gate passes in a companion app. Images are cleaned up, tagged to the job and uploaded immediately, and nothing is left behind in personal photo galleries.

Proof of delivery reaches the office the same day.

  • Licence and certificate expiry tracking

Factory licences, civil defence certificates, product registrations and municipal permits are tracked with their issue and expiry dates in Hijri or Gregorian form. Owners receive reminders in time to renew, and managers see which sites carry risk this month. Each site in Jeddah has its own permit list, and head office sees the combined picture.

Renewals happen before an inspector notices.

  • Portal for overseas principals and clients

Foreign suppliers, principals and corporate clients can log in to a branded portal to upload documents and download the ones you choose to share, in English or Arabic. Every exchange is recorded, and access closes when the relationship or shipment ends.

Fewer email threads with overseas partners, and a clear record of each exchange.

  • Claims and dispute evidence

When cargo arrives damaged or short, or a customer disputes an invoice, the team opens a claim file that pulls in the relevant shipment documents, photos, surveyor reports and emails. Deadlines for notifying carriers and insurers are tracked, and the complete evidence pack can be exported for a lawyer or insurer in one step.

Claims are argued with complete evidence, on time.

Who this is for

Four kinds of Jeddah business we build for.

Document management in Jeddah is less about boardroom governance and more about speed and completeness at the point where goods, people and money change hands. A forwarder loses money when a container waits for a certificate. An Umrah company loses trust when a passport copy goes to the wrong person. A trading group loses an agency when a renewal slips. The four profiles below cover most of the Jeddah enquiries we expect, and each needs a different first release.

01

A freight forwarder or customs broker

You handle hundreds of shipment files for many clients, each with documents arriving from carriers, suppliers and agencies. We build shipment files, inbox capture and client level access so each importer sees only their own consignments, and your operations team sees where every file stands before vessels reach the port. Brokers working out of offices near the port can update a file from a phone between appointments.

Client access is often what wins a forwarder its next contract.

02

A family trading group

Several companies, many brands, a mix of old paper archives and newer digital files, and a corporate affairs team that keeps everything running. We start with entity records and agency agreements, digitise the most important paper files, and give the group's leadership one place to check legal and commercial standing across all entities. Older family members who prefer paper are not forced to change overnight; their assistants scan and file on their behalf.

03

An Umrah or travel service company

Pilgrims from abroad entrust you with passports and personal details, and many of them pass through Jeddah on the way to Makkah. We build restricted group workspaces, controlled sharing with hotels and transport partners, and automatic deletion after the trip. Licensing and Nusuk procedures stay with you and the Ministry of Hajj and Umrah; the software keeps your own records orderly and private.

Privacy design matters more here than any other feature.

04

A manufacturer in Jeddah's industrial areas

Factories in Jeddah Industrial City and nearby zones keep quality certificates, product registrations, safety permits and supplier documents that auditors and buyers ask to see. We build a controlled quality library, permit tracking and supplier portals, with mobile capture for the production floor. Buyer audits become a matter of sharing a prepared folder rather than a week of searching.

Six steps from cluttered inboxes to organised files.

  1. 01Follow a real documentWe trace a recent shipment, contract or group booking through your company, noting every inbox, folder and person it touched, to see where time and information were lost.
  2. 02Define document types and keysEach document type is named, given required fields and linked to its key, such as a bill of lading, an entity registration number or a group reference.
  3. 03Design intake firstEmail capture, scanning and mobile upload are designed before anything else, because in a trading business most documents arrive from outside.
  4. 04Build and connectWe develop in short cycles and connect your accounting, ERP or freight software, showing working features to operations staff at each step.
  5. 05Pilot on live workOne team or client account runs on the new system for a few cycles of real shipments or groups, and we fix what slows them down before wider rollout.
  6. 06Roll out and refineRemaining teams join with training in Arabic and English, and we review capture accuracy and missing document reports regularly after launch.

Technology

What we build this with.

We usually build a web platform with a phone app for capture, encrypted storage hosted in a Saudi cloud region, OCR tuned for Arabic and English trade documents, and connectors to your accounting software, ERP or freight management system.

Questions Jeddah businesses ask about document software.

Fast intake, files keyed to real business events, and clear access rules.

For most Jeddah clients, the core is a file per shipment, contract, entity or traveller group, with documents arriving by email, scanner or phone and attached automatically or with one click. Search works in Arabic and English, every action is logged, and external parties get limited access to the files that concern them. Workflows and dashboards build on that base. Because so much paperwork in Jeddah comes from outside the company, we spend more design effort on intake than on any other part.
