Subscription billing for document control software sold to Eastern Province projects.

Codeeo delivers document management subscription website development Dammam software vendors use to sell document control and records platforms to contractors, fabricators and inspection firms. We build the pricing pages, project based plans, guest seat billing, ZATCA compliant invoices and the account area where a document controller adds subcontractors or buys storage for another set of drawings. The platform reflects how Eastern Province work is actually bought: by project, by purchase order and often with a joint venture partner sharing the cost.

Discovery, design reviews and acceptance sessions for Dammam, Al Khobar and Jubail clients run by video call with our team. The scope here is the commercial layer around your software: plans, payment, invoices and customer accounts, not the document register or transmittal engine inside the product.

What we build

A billing model that follows the life of a project.

Document control in Dammam is sold differently from office software in other cities. A contractor rarely buys a company wide licence. It buys a workspace for a specific package of work, invites the client's reviewers, its own engineers and a dozen subcontractors, uploads large drawing files for a year or two, then needs a read only archive for the handover and warranty period. Charging for that by a flat seat price either overcharges the guests or undercharges the storage.

We build subscription platforms that understand projects. Each workspace has its own plan, its own cost code and purchase order, its own storage meter and its own end date. Internal users, client reviewers and subcontractor guests can be priced separately. When construction ends, the workspace moves to an archive plan rather than being cancelled. Invoices meet ZATCA requirements, payment runs through Saudi methods, and the vendor sees revenue by project as well as by customer.

Explain your project
  • Project workspace plans

Customers buy a workspace per project or package, each with a plan, start date, expected duration and storage allowance. One contractor can hold several workspaces on different plans, all under one company account with combined or separate invoices, as their finance team prefers.

Billing mirrors the way contractors budget their jobs.

  • Guest and reviewer pricing

Separate prices, or free allowances, for client reviewers, consultants and subcontractor uploaders, with limits on what each role can do. Document controllers invite guests from the account area, and the platform shows how many guest places remain before the next tier.

Subcontractors join a project without inflating the main seat count.

  • Storage meters for large drawings

Engineering files, scanned data books and site photographs fill storage quickly. Usage is metered per workspace, customers receive alerts at thresholds they choose, and extra storage blocks can be bought in the account area and prorated to the current period.

Storage growth becomes revenue instead of a support ticket.

  • Purchase order and cost code capture

At checkout or on the order form, buyers enter the purchase order number, project cost code and billing contact for each workspace. Those details print on every invoice and credit note, and expired purchase orders trigger a reminder to the buyer before renewal.

Invoices pass the client's accounts payable checks first time.

  • Joint venture cost splitting

Where two companies share a project workspace, the subscription can be split by agreed percentages, with each partner receiving its own tax invoice under its own VAT number. The workspace stays single, so the document register is not duplicated.

Partners pay their share without a manual recharge.

  • Handover and archive plans

At practical completion the customer moves the workspace to a read only archive plan with lower pricing and reduced seats, keeping drawings and records available for the warranty period. Final export with folder structure and metadata is available at any time.

Closed projects keep paying a fair amount instead of churning.

  • Prequalification and tender trial workspaces

Suppliers bidding for work often need a short lived workspace to assemble a prequalification pack or tender response. If you choose to offer it, the platform issues a time limited workspace with a small storage cap, reminds the user before it expires and converts it to a paid project plan in one step when the bid succeeds.

Bids become paying projects without a second sign up.

  • Saudi payment collection

Card renewals through a SAMA licensed gateway with mada, Visa, Mastercard and Apple Pay for smaller firms, and invoiced payment by bank transfer or SADAD for the larger contractors that will not pay software by card at all.

Each customer pays the way its finance team already works.

  • E-invoices that match Fatoora

Tax invoices in Arabic and English with buyer and seller VAT numbers and the QR code, generated per workspace or consolidated, and integrated with Fatoora once your company's Phase 2 wave applies. Mid period changes produce linked credit or debit notes.

Finance closes the month without rebuilding invoices.

  • Revenue by project and sector

Reporting that shows recurring revenue by customer, by workspace and by sector, such as oil and gas services, construction or inspection, with workspaces nearing their planned end date listed so your team can propose the archive plan early.

You see which project types grow the business.

Who this is for

Four kinds of Dammam vendor we work with.

The Eastern Province is full of companies that create technical records: EPC contractors, fabrication yards in Dammam's industrial cities, inspection and testing firms, and suppliers preparing prequalification packs for the region's major operators. Document management SaaS website development Dammam vendors ask us for starts from that customer base, where buyers are engineers and procurement officers rather than office managers. Each of the situations below needs a different balance of self-serve checkout and contract billing, and most vendors recognise themselves in more than one.

01

A document control product sold project by project

You already sell workspaces to contractors, but each one is set up by your team and billed through a manual invoice raised against a purchase order. We move that onto a subscription platform where workspaces are ordered, provisioned and billed from records your finance team trusts, while the purchase order discipline your customers insist on stays in place.

The order form can still require your approval before a workspace goes live.

02

A records and archiving service for industrial suppliers

Fabricators and inspection firms need to keep certificates, test reports and data books for years after delivery. If you sell a hosted archive with scanning or indexing services, we combine monthly storage plans with one off service charges, so customers buy both on one invoice and the archive renews without anyone raising paperwork.

03

A vendor moving from Al Khobar clients to the wider region

Your first customers came through personal networks in Al Khobar and Dhahran, and most of them were signed after a meeting over coffee. Growth across the Kingdom and the Gulf needs published plans, Arabic and English checkout and a way for new firms to subscribe without a meeting. We build that storefront, write plan pages that explain document control in plain terms for buyers who are not engineers, and keep a quote path for the larger contracts where your team still wants to negotiate.

04

An engineering software company adding a hosted edition

You sell an installed product with annual licences and want a cloud edition priced monthly. We build the subscription side for the hosted edition, including trial workspaces if you choose to offer them, and keep licence customers and cloud subscribers in one customer record so upgrades between the two are straightforward. Licence holders moving to the cloud can receive a credit for the unused part of their licence, calculated by the platform rather than by hand.

How a Dammam subscription platform comes together.

  1. 01Commercial model callsOver video calls we map how projects start, who pays, how guests are counted, when workspaces close and what your existing contracts already say about storage, archive periods and exit.
  2. 02Billing architectureWe select the billing engine and a Saudi gateway, define meters for seats, guests and storage, and agree how invoices are generated, numbered and reported to ZATCA.
  3. 03Storefront and account designPlan pages, order forms and the workspace admin area are designed in Arabic and English, with screens shared for review on recorded calls.
  4. 04Integration with your productProvisioning, guest invitations, storage reporting and archive switching are connected to your document control platform through its API or new endpoints we agree with your developers.
  5. 05Live project migrationActive workspaces, purchase orders and renewal dates are imported, and invoices from both old and new processes are compared for one cycle.
  6. 06Launch and supportAfter go live we monitor provisioning failures, payment declines and invoice queries, and refine guest limits or archive pricing with your team.

Technology

What we build this with.

Storefronts and account areas are usually built in Next.js or Laravel, connected to a subscription billing engine and a Saudi payment gateway. Hosting follows your data residency commitments to customers, including Saudi cloud regions. Large file uploads stay inside your product; the billing platform only receives the usage totals it needs to invoice correctly.

Questions from Dammam and Eastern Province vendors

We quote after discovery, because cost depends on your plan model and integrations rather than page count.

The main drivers are how many meters you bill on, such as internal seats, guests and storage, whether you need joint venture splitting and purchase order capture, and how much of your product needs new endpoints for provisioning. Migrating live projects with their history adds effort, and so does consolidated invoicing for large contractors. We write a scope after the discovery calls and show which parts could wait for a second phase.
