Booking and billing sites for counselling services across Dammam, Khobar and Dhahran.

Codeeo delivers mental wellness booking website development Dammam clinics and corporate wellbeing providers rely on to sell sessions to individuals and companies alike. Clients choose a location in Dammam, Khobar or Dhahran, book a single session or a weekly series and pay with mada or Apple Pay. Companies buy session allowances against a purchase order and receive tax invoices that carry their VAT number. Your team runs it all from one admin.

In the Eastern Province a large share of counselling is paid for by employers, so the platform treats company billing as seriously as individual checkout. It does not deliver therapy or give clinical advice, and every booking page tells people it is not an emergency service.

What the booking platform includes

Individual checkout and company billing on one platform.

Dammam, Khobar and Dhahran work as one metropolitan area, and people cross between them for work every day. A client might live in Dammam, work in Dhahran and prefer a session in Khobar after their shift. Meanwhile your largest customers are often companies that fund sessions for staff and expect contract billing, purchase orders and proper tax invoices. The online booking system has to serve both buyers without mixing up their data or their invoices. Below are the parts we usually build for providers here. The set and order are agreed in discovery, starting with whichever buyer brings you most of your sessions today.

Explain your project
  • Location picker across the metro area

Clients choose between your sites in Dammam, Khobar or Dhahran, or a video session where your clinical policy allows it. Each site has its own rooms, hours and practitioners, and the confirmation includes directions and parking notes for that building. Clients can sort sites by distance from home or work. Practitioners who work at more than one site have travel time blocked between them.

Clients book the site that fits their commute.

  • Weekly session series

Many clients see the same practitioner at the same time each week. A series booking holds that slot for the agreed number of weeks, charges per session through a tokenised card held by the gateway, and lets the client skip one week inside your notice rules without losing the rest. If a card fails before a session, the client gets a payment link and the coordinator is alerted.

Regular clients keep their slot without rebooking every week.

  • Advance booking around rotations

Staff who work fixed rotations at plants or offshore sites often know their weeks at home months ahead. They can book sessions for their off weeks in one go, and the platform warns if a chosen date falls outside the booking horizon you allow. Coordinators can see these future bookings early and plan practitioner leave around them.

Sessions planned around work patterns, not squeezed in.

  • Company accounts and purchase orders

A company signs up once, adds its billing contact, VAT number and purchase order references, and receives a pool of funded sessions. Staff book with a private code. When the pool runs low, the company tops up or raises a new purchase order online. Several contracts with different session rates can run for the same company at once.

Corporate customers billed the way their finance teams require.

  • Standard and simplified tax invoices

Individuals receive simplified e-invoices and companies receive standard tax invoices with their VAT number, both generated to ZATCA's Fatoora requirements for your phase. Credit notes follow refunds automatically, and VAT treatment is set as your tax adviser confirms. Monthly statements group every invoice for a company in one document.

Invoices that pass company finance checks first time.

  • Checkout for individuals

Self-paying clients pay with mada, Apple Pay, Visa, Mastercard or STC Bank (formerly STC Pay) through a SAMA licensed gateway. Card data is held by the gateway, not your platform. Instalments through Tabby or Tamara are offered only for packages and only where their terms cover health services.

Fast payment on the phone clients already use.

  • Visitors from across the causeway

Some clients cross the King Fahd Causeway from Bahrain for in-clinic sessions. Forms accept GCC phone numbers, international cards work at checkout, and reminders can be sent by email or WhatsApp when a Saudi SMS number is not available. Prices are always shown in riyals.

    Cross-border clients book without workarounds.

  • Private intake and access control

Intake questions and consent are gathered after booking and encrypted. Only the assigned practitioner and named clinical staff can read them. Company contacts and finance users never see intake, notes or individual names, only counts and invoice totals. Every view of a client record is written to an access log your clinical lead can review.

Employers fund care without seeing who received it.

  • Cancellations, refunds and pool credits

Your notice period and no-show rule are applied the same way to every booking. A cancelled self-paid session refunds to the original method or becomes account credit; a cancelled company session returns to the company pool, with the change logged. Clients see the rule before they pay.

No arguments about who pays for missed sessions.

  • Reception and coordinator console

One screen per site shows today's sessions, check-ins, late arrivals and rooms free for walk-in bookings. Coordinators can move a client between sites in Dammam and Khobar, book on someone's behalf and send a payment link by WhatsApp. Daily summaries go to each site manager by email.

Front desk work done in minutes, not phone calls.

Who this is for

Four providers in the Eastern Province who need this.

Good mental wellness booking website design Dammam clients respond to looks quiet and works fast on a phone, but the harder design work sits behind the scenes in billing rules. These are the four kinds of provider we most often plan for in the Dammam area, each with a different first priority. The split between individual and company work usually decides where we start. We say plainly in discovery which features can wait for a second release.

01

A clinic with sites in Dammam and Khobar

Two or three sites mean separate rooms, hours and staff, but clients expect one account and one booking link. We build site level calendars, shared client records and per site reporting, so managers can see which location is busy and move practitioners where they are needed. Clients can switch sites for a single week without cancelling their series. Managers can compare utilisation of rooms across sites week by week.

One brand online, several sites in the diary.

02

A corporate wellbeing provider

If most of your revenue comes from contracts with companies, the platform puts company accounts, purchase orders, session pools and standard tax invoices first. Staff of each client company get a private booking route, and your account managers see usage by contract without seeing names. Contract renewals can be prepared from the usage history the platform already holds.

Contract billing first, individual checkout second.

03

A university or school counselling service

Campuses such as Imam Abdulrahman Bin Faisal University have students who need simple, free or subsidised booking and staff who need clear calendars. We build sign in with the institution's accounts where available, booking limits per student and reporting by term without personal details. Paid sessions for staff or families can sit beside the free student service. Students see clear booking limits and alternatives when slots run out.

Free student booking beside paid staff sessions.

04

A practitioner moving from referrals by phone to online booking

Independent psychologists and counsellors in Khobar and Dammam often run their diary by phone and bank transfer. We set up a focused booking site with online payment, automatic invoices and a weekly series option, small enough to manage alone. Adding a colleague later is a matter of a new profile and calendar, not a rebuild. Your existing phone number stays the contact point for clients who prefer to call.

Small to start, ready for a second practitioner.

Six steps to a booking and billing platform in Dammam.

  1. 01Video discoveryCalls with your coordinators, a practitioner, finance and, if relevant, an account manager for company contracts. We map every booking rule, billing route and privacy boundary before scoping.
  2. 02Billing model designWe document how individuals pay, how companies are invoiced, how pools and credits move and which invoice type each buyer receives, then check it with your finance team and tax adviser.
  3. 03Booking flow and admin designArabic first, right to left designs for site choice, series booking, checkout and the coordinator console, reviewed together on screen share and adjusted until your staff are confident.
  4. 04Build and integrationsCalendars, company accounts, gateway onboarding, tokenised payments and the Fatoora connection, plus links to your accounting or practice software where they offer an API.
  5. 05Privacy and security checksRoles, encryption, access logs and retention rules reviewed against the PDPL and relevant NCA controls, with a test that company users can never reach individual records.
  6. 06Launch and first contractsExisting clients and company accounts imported, staff trained by video, small live payments tested, then the first company invoices checked with you before they are sent.

Technology

What we build this with.

We use frameworks such as Laravel or Next.js, a managed database, a SAMA licensed gateway with card tokenisation and a certified e-invoicing connection. Hosting location is agreed with you to match your privacy policy. The admin works in any modern browser, so coordinators at every site need nothing installed.

Questions Dammam providers ask about booking platforms.

That depends mainly on how much company billing you need.

A single site practice with individual checkout is the quickest build. Company accounts, purchase orders, session pools and standard tax invoices add design and testing time, as do several sites across Dammam, Khobar and Dhahran. Gateway onboarding and e-invoicing setup also run on the providers' timelines. We set out the release order and dates after discovery, before design starts. Many providers launch individual checkout first and switch on company billing once the first contracts are ready to move across.
