Therapy booking sites that match Jeddah clients to the right practitioner and take payment.

We provide mental wellness booking website development Jeddah counselling clinics and wellbeing centres use to fill their diaries and get paid before the session. Clients filter practitioners by language and gender, choose a slot at your branch or by video, pay with mada, Apple Pay or an international card, and get a confirmation in their own language. Your coordinators manage availability, waitlists, refunds and Fatoora invoices from one admin.

Jeddah is a city of many nationalities, and a person looking for a counsellor often wants one who shares their language. The platform is built around that choice. It handles scheduling and payment only; clinical care, assessment and emergency response stay with your licensed team and the routes your clinical lead sets. A clear notice on every booking page says the site is not for emergencies.

What the booking platform includes

Built for a city where language, timing and privacy decide the booking.

A Jeddah clinic may see a Saudi family from Al Rawdah in the afternoon, an expatriate engineer from the port after work and a visitor on a short stay the following morning. Each one books differently, pays differently and needs a confirmation they understand. The online booking system has to cope with all three without making reception the translator for every booking. These are the parts we usually build. The exact set comes out of discovery, and we would rather ship fewer parts that work well than a long list your coordinators ignore. Everything below sits on the website and its admin; nothing here asks your clients to download anything.

Explain your project
  • Practitioner matching filters

Clients filter by language spoken, practitioner gender, session type and in-clinic or video availability. Profiles state qualifications and registration details you supply, written in plain language. A client who reads Arabic, English, Urdu or French can reach the right person in a few taps instead of calling to ask who is available. Clients who are unsure can request a short call with a coordinator instead of choosing alone.

First sessions booked with a practitioner the client can talk to.

  • Branch and room scheduling

Practices with more than one Jeddah branch, for example in the northern districts and closer to the centre, publish each branch's rooms and hours separately. Travel time between branches is blocked out for practitioners who split their week, so the calendar never offers an impossible back to back slot. Branch pages carry maps and parking notes for each location.

Diaries that reflect where practitioners actually are.

  • Women only times and spaces

Where your clinic offers sessions with women practitioners or in women only areas, those slots are labelled clearly and can be filtered directly. Booking confirmations state which entrance or floor to use, so a client arrives knowing exactly where to go. Male clients see only the slots open to them, so nobody books a time they cannot attend.

Clients who feel comfortable before they arrive.

  • Checkout for residents and visitors

Residents pay with mada, Apple Pay or STC Bank (formerly STC Pay) through a SAMA licensed gateway. Visitors staying in Jeddah for a short time can pay with an international Visa or Mastercard, and phone and address fields accept foreign formats without failing validation. Currency is always shown in riyals so visitors know what they will be charged.

No lost bookings at the payment step.

  • Third party payment with privacy

A relative or sponsor can pay for someone else's sessions. The payer receives a receipt and an invoice; the client keeps control of the appointment details, practitioner and intake answers. Consent settings decide what, if anything, the payer is told.

Families can help pay without seeing private details.

  • Waitlists and slot release

Popular practitioners fill up. Clients join a waitlist for a practitioner or time band, and when someone cancels the slot is offered automatically to the next person, with a short window to pay before it moves on. Coordinators can see the whole waitlist and override the order for clinical reasons.

Cancelled hours refilled without phone calls.

  • Paid group programmes

Stress management groups, parenting circles or workplace sessions run as ticketed events with capacity limits, separate men's and women's groups where you need them, and attendance lists for the facilitator. Each event has its own refund cut-off.

Group work sold and managed in the same place as individual sessions.

  • Refunds, credits and no-show rules

Your cancellation notice period, refund method and no-show policy are configured once and applied consistently. Early cancellations can become account credit or a refund to the original method, and every change is recorded for finance.

Disputes settled by the rules clients agreed to.

  • Multilingual confirmations and reminders

Confirmations and reminders go out by SMS, email or WhatsApp in the language the client booked in, with neutral wording that does not disclose the type of service. Each message carries a link to reschedule or cancel inside your policy. Templates for each language are edited in the admin, not in code.

Fewer missed appointments across every language group.

  • E-invoices and finance exports

Each payment, refund and credit note creates an e-invoice that follows ZATCA's Fatoora requirements for your phase, with VAT handled as your tax adviser directs. Finance downloads reconciled takings by branch and gateway without access to client records. Branch managers see only their own branch figures.

Accurate books with no clinical data in them.

Who this is for

Four Jeddah providers this platform suits.

Every booking site we plan for Jeddah starts with the people walking through the door: their languages, their working hours and how they prefer to pay. Mental wellness booking website design Jeddah clients trust is calm, short and honest about prices, policies and who they will see. These four situations come up most often, and each points to a different first release. We note the release each situation needs first, and what can safely wait.

01

A multilingual counselling practice

Your team speaks several languages and your clients come from many communities. The booking site makes language the first filter, publishes profiles in Arabic and English, and sends every message in the client's chosen language. Reception stops acting as a switchboard, and practitioners get clients whose language they share from the very first session. Practitioners can mark which languages they offer for therapy and which only for admin, so expectations stay accurate.

Language first, then time and place.

02

A family wellbeing centre

Centres that see couples, parents and adolescents need bookings for more than one person, guardian consent for minors and payment by whoever holds the account. We build family accounts with linked members and separate private records for each, so a parent can book and pay without reading an adult child's intake answers. Couples sessions take one payment and show both names only to the practitioner.

Shared payment, separate records.

03

A clinic opening a second Jeddah branch

Opening a second site doubles the scheduling problem. We add branch level calendars, room resources and reporting, keep one client account across both sites, and let clients choose the branch nearest their home or office. Coordinators can move a booking between branches in one step when a practitioner's week changes.

Two branches, one client account.

04

A practitioner group selling workplace programmes

Port, logistics and hospitality employers around Jeddah sometimes buy group sessions or counselling allowances for staff. We build employer accounts that buy blocks of sessions, staff booking codes that keep identities private, and invoices that show only totals. Employers can top up allowances online, and coordinators see when a balance is running low. Programmes can be priced per employer without changing public rates.

Employers fund sessions; staff identities stay private.

From a first video call to a live Jeddah booking platform.

  1. 01Discovery by video callWe meet your coordinators, a practitioner and finance by video, screen share your current diary and payment process, and list every rule the platform must follow, from deposits to who may see intake answers.
  2. 02Language and content planWe agree which languages each page, profile and message needs, who writes and approves the copy, and how right to left Arabic layouts mirror the English ones.
  3. 03Booking and checkout designClickable designs of matching, slot choice, payment and confirmation, reviewed with your team by video and tested on the phones your clients actually use.
  4. 04Build and gateway setupCalendars, waitlists, group events, refunds and the admin, built alongside gateway onboarding, mada and Apple Pay activation and the Fatoora connection.
  5. 05Privacy, security and testingRole permissions, encryption, access logs and retention checked against the PDPL; every booking type, language and refund case tested before launch.
  6. 06Launch and handoverFuture appointments imported, coordinators trained over video sessions, small live payments verified with real cards, then a period of close support while real bookings arrive and the first refunds are processed.

Technology

What we build this with.

A modern web framework such as Next.js or Laravel, a managed database, a SAMA licensed gateway and an approved e-invoicing connection. We pick tools your future team can support, and agree hosting location with you. Payment pages load quickly on mobile data, which matters for clients booking on the move across the city.

Questions Jeddah clinics ask about booking and payment sites.

Matching, scheduling, payment, invoicing and an admin, shaped around a multilingual client base.

The core is a booking flow where clients choose a practitioner and slot and pay, plus an admin where coordinators manage diaries, rooms, refunds and invoices. In Jeddah the language filter, foreign card support and multilingual reminders usually matter more than elsewhere. Timing depends on branches, languages and integrations, and we write it into the plan after discovery. Most clinics start with booking, payment and invoices, then add waitlists, group events and employer accounts in later releases.
