National booking and payment platforms for Saudi mental wellness providers.

Our mental wellness booking website development Saudi Arabia service builds platforms that let licensed providers sell and schedule sessions in every city they serve. Clients find a practitioner by city, language and session type, pay with mada, Apple Pay or STC Bank (formerly STC Pay), and receive a Fatoora e-invoice. Behind that sit PDPL consent controls, security aligned with NCA requirements and admin tools that let you open new cities one at a time.

A national provider has to satisfy several regulators at once: SDAIA for personal data, ZATCA for invoicing, SAMA rules through the payment gateway, the Ministry of Commerce for online selling and health authorities for the care itself. We build the booking and payment layer so those obligations are met in the platform, not patched in later. The platform does not give clinical advice or replace emergency services.

What the booking platform includes

The national parts a multi-city wellness provider needs.

A single clinic can get by with a simple diary and a payment link. A provider working in Riyadh, Jeddah, Dammam and beyond cannot. Practitioners are spread across cities, some work in person and some by video where licensing allows, funders range from individuals to large employers, and every transaction has tax, privacy and consumer law consequences. The online booking system has to hold all of that together while staying simple for the person booking their first session. These are the capabilities we usually plan for a national rollout, grouped around four questions: who is booking, who is paying, which rules apply and which city goes live next.

Explain your project
  • National practitioner directory

One directory covers every city you serve. Clients filter by city, language, practitioner gender and in-person or video sessions. Profiles show the registration details you supply, and an expiry field alerts your clinical governance team before a practitioner's registration with the Saudi Commission for Health Specialties lapses. Directory pages for each city also give search engines a clear local page to index.

Clients find a suitable practitioner anywhere you operate.

  • Identity verification options

For services where you must confirm who a client is, we plan identity checks at sign up. Nafath verification is possible where your organisation is approved to use it; otherwise we use verified phone numbers and staff checks at the first session. The level of checking matches your clinical and legal requirements.

Confidence that the person booking is who they say.

  • Saudi payment mix

Checkout supports mada, Apple Pay, Visa, Mastercard and STC Bank (formerly STC Pay) through a gateway operating under SAMA rules. SADAD bill payment can settle larger invoices for companies. Tabby and Tamara instalments are offered only for packages and only where their terms accept health services. Refunds always return to the method the client used.

Every client and funder has a familiar way to pay.

  • Fatoora e-invoicing

Each sale, refund and credit note produces an e-invoice integrated with ZATCA's Fatoora platform as your integration phase requires, with simplified invoices for individuals and standard tax invoices for companies. VAT treatment is set with your tax adviser, not guessed by the software. Failed submissions are retried and reported to finance rather than lost.

Invoicing that keeps up with ZATCA requirements.

  • PDPL consent and rights centre

Mental health information is sensitive data under the PDPL. Clients give clear consent at booking, read your privacy notice in Arabic or English, and can request access to or correction of their data. Requests are logged and routed to your data protection officer with response tracking. Retention periods for booking, payment and intake data are set separately.

Privacy obligations handled inside the platform.

  • Security aligned with NCA controls

Role based access, multi-factor sign in for staff, encryption, access logs and backup plans are designed to support the National Cybersecurity Authority controls your organisation applies. Hosting location is agreed with you, including Saudi data centre regions where policy or contracts require it.

A platform your security team can sign off.

  • Funder accounts

Employers, universities and other funders hold accounts with session allowances, contract rates and purchase order references. Their people book privately; funders see only aggregated usage and invoices. Where an insurer covers sessions, the booking captures policy details for your claims process under your agreement with that insurer. Funders can download monthly statements without contacting your team.

Many funders, one set of rules, no exposed identities.

  • Consumer terms and store disclosure

The Saudi e-commerce law expects clear seller identity, prices, terms and cancellation conditions. We place your commercial registration, contact details, cancellation and refund terms where clients see them before paying, and support registering the online store with the Ministry of Commerce as your legal adviser directs. Terms are versioned, so you can show which version each client accepted.

Clients know the terms before they commit.

  • City rollout controls

Cities are switched on from the admin once practitioners, rooms and local content are ready. Each city can have its own hours, holidays, session types and contact numbers, and national managers compare bookings and revenue by city from one dashboard. A city can be paused just as easily if a local team changes.

New cities launched without a new website.

  • Calendar rules for the Saudi year

Hijri and Gregorian dates appear side by side, Ramadan timetables can be loaded in advance, and Eid closures apply across every city or selected ones. The working week runs Sunday to Thursday by default, with weekend sessions where you offer them. Reminders respect prayer times and local hours where you set them.

Diaries that follow the calendar clients live by.

Who this is for

Four organisations that need a national booking platform.

Mental wellness booking website design Saudi Arabia providers can scale starts with knowing where you operate now and where you will be in two years. These are the four kinds of organisation we most often plan national platforms for. Each one carries a different mix of funders, cities and compliance duties, which sets the order we build in. Several of these often apply to the same organisation at once.

01

A clinic network expanding to new cities

You run clinics in one city and plan to open in others. We build the platform once, with city level calendars, content and contact details, so each new location goes live from the admin. National reporting shows how each city performs, and client accounts work wherever the client books. Your brand stays consistent while local teams manage their own diaries. Prices can vary by city where your costs differ.

Build once, open each city when ready.

02

An online first provider with practitioners across the Kingdom

Your practitioners work remotely from several regions and most sessions run by video where licensing allows. The platform matches clients to practitioners by language and availability rather than location, handles payment and e-invoicing centrally and keeps each practitioner's diary in one place. Governance staff can see registration status for everyone at a glance. Video session links are issued only to the verified client.

Matching by availability, not by city.

03

An employer programme operator with national clients

Large employers have staff in many cities and want one programme for all of them. We build funder accounts with allowances, private booking codes and aggregated reporting, plus standard tax invoices and SADAD settlement for finance teams. Staff anywhere in the Kingdom book the same way, and employers never learn who used the service. Programmes can differ by employer while sharing the same practitioners.

One programme, every city, private for staff.

04

A provider replacing several local booking tools

Some networks grew by acquisition and run a different booking tool in each city. We consolidate practitioners, services, future appointments and client accounts into one platform with a planned migration city by city, so no booked session is lost and finance finally gets one set of reports. Old booking links redirect to the new platform so returning clients are not confused.

Several tools merged into one, city by city.

How a national booking platform is planned and rolled out.

  1. 01Discovery and compliance mapWorkshops in Riyadh or by video with operations, clinical governance, finance, legal and IT. We list every regulator touching the platform and the obligations each one creates for booking and payment.
  2. 02Service and funder modelWe document session types, cities, funders, prices by funder, refund rules and invoice types, then confirm VAT and e-invoicing treatment with your tax adviser.
  3. 03Design for all citiesArabic first, right to left booking flows, city selection, funder routes and the national admin, designed once and tested with clients from more than one region.
  4. 04Platform build and integrationsDirectory, calendars, checkout, Fatoora connection, consent centre and funder accounts, plus links to practice management, HR or accounting systems that expose an API.
  5. 05Security, privacy and pilot cityAccess controls, logging, retention and hosting reviewed against the PDPL and NCA controls, then a pilot launch in your first city with live payments and close monitoring.
  6. 06City by city rolloutEach further city is switched on when its practitioners and content are ready, with local staff training by video and a review of booking and payment data after every launch.

Technology

What we build this with.

Frameworks such as Next.js or Laravel, a managed relational database, a SAMA licensed gateway, an approved Fatoora integration and cloud hosting in a region your policy allows. We choose a stack your own team or any future vendor can maintain. Monitoring alerts your team and ours if payments or invoicing stop working in any city.

Questions national providers ask about booking platforms.

Data protection, invoicing, payments, consumer law and health licensing all touch the platform.

The PDPL, supervised by SDAIA, governs personal data and treats health information as sensitive. ZATCA's Fatoora rules cover e-invoicing and VAT. Payment gateways operate under SAMA rules. The e-commerce law and the Ministry of Commerce set disclosure and online store duties. The Ministry of Health and the Saudi Commission for Health Specialties license facilities and practitioners. Your legal advisers confirm how each applies to you. We build the platform so each obligation has a clear owner in your organisation and a record in the system.
