Warehouse software for Jeddah cold stores, port importers and pilgrim season supply.

We offer warehouse management software development Jeddah businesses use to run chilled, frozen and ambient stock through one set of screens. Goods landed at Jeddah Islamic Port are tallied off the container, placed into temperature controlled or dry locations, picked by expiry date and packed for hotels, restaurants, shops and online buyers. Every movement is scanned, so your managers know what is in each room, how long it has been there and which orders it is promised to.

Warehousing on the Red Sea coast has its own pressures: food that spoils in humid heat, demand that jumps when Umrah and Hajj crowds arrive in Makkah, and stock that sometimes belongs to a re-export shipment rather than the local market. The software has to reflect all three.

Inside the system

Modules shaped by a port city that feeds the holy cities.

Jeddah warehouses sit between a major Red Sea port and a hinterland that includes Makkah, Madinah and Taif. Much of the stock is food, drink and consumables, a good share of it chilled or frozen, and volumes swing with the pilgrimage calendar. Mawani has also signed agreements for logistics parks at Al Khumrah in the south of the city, with chilled, frozen and re-export space planned, so more operators here will be running several temperature zones and several stock statuses in one building. The modules below are the ones Jeddah clients put at the top of their list. We usually build three or four for the first release and add the rest once floor staff are comfortable with scanning.

Explain your project
  • Temperature zones and sensor alerts

Each room or chamber is set up as a zone with its own temperature range. Readings from your loggers or sensors feed the dashboard, and a breach raises an alert to the duty manager and flags the affected pallets. Stock in a breached zone can be held automatically until someone with authority reviews it.

Temperature problems are acted on in minutes, with a record of what was done.

  • First expiry, first out picking

Batch and expiry dates are captured at receipt, and pick lists always direct staff to the earliest date that still meets the customer's minimum shelf life. Hotels and caterers that demand a set number of remaining days get only stock that qualifies, without a picker having to check labels by eye.

Less write off from expired product and fewer rejected deliveries.

  • Container tally at devanning

Unloading teams scan each carton or pallet against the expected list for the container, entering batch and expiry as they go. Over, short and damaged counts are agreed on the tablet before the truck leaves, and the tally sheet is stored with photos for the importer or freight forwarder.

Disputes about what arrived from the port are settled with evidence.

  • Re-export and duty status

Stock held for re-export can carry its own status, kept apart from goods cleared for the local market. Pickers cannot send re-export pallets on a domestic order, and reports show what is held under each status so your customs broker has accurate figures to work from.

Local and re-export stock never get mixed up on the floor.

  • Pilgrim season wave planning

Ahead of Ramadan Umrah traffic and Hajj, demand from Makkah and Madinah hotels and catering contracts rises sharply. The system groups orders into waves by delivery window and destination, so pickers work one convoy at a time and loading bays are prepared in sequence rather than all at once.

Peak weeks run on a plan instead of overtime and guesswork.

  • Online order pick, pack and verify

For brands fulfilling online orders across the Western Region, the app supports batch picking into totes, a packing screen that checks each item by scan, and courier labels printed at the bench. Wrong item or missing item errors are caught before the parcel is sealed.

Fewer wrong parcels and fewer costly redeliveries.

  • Returns grading

Returned goods are scanned in, graded as resaleable, needing repack or for disposal, and moved to the right location. Food returns can be forced straight to a disposal or inspection area. Your team sees why items come back and which customers or couriers cause the most returns.

Returned stock is either sold again or written off quickly, not forgotten.

  • Zone cycle counts

Instead of closing for a full annual count, staff count a few locations each day, chosen by value, movement or past errors. Freezer zones can be counted in short bursts so staff limit time in the cold. Variances go to a supervisor for approval before stock figures change.

Stock accuracy stays high without shutting the warehouse.

  • Arabic and English labels

Pallet labels, location signs and shipping documents print in Arabic and English, with barcode formats your customers and couriers accept. Handheld screens follow the language each operator prefers, which helps a mixed workforce of Saudi and expatriate staff work from the same instructions.

Fewer mistakes caused by labels or screens nobody can read.

  • Storage and handling charges

Contract warehouses can charge per pallet per day, per chilled position, per case handled or per order packed. The system records each chargeable event as it happens and exports a monthly statement per client to your finance system, which issues the e-invoice required by ZATCA.

Client statements are ready at month end without manual tallying.

Who we build for

Four kinds of Jeddah warehouse that come to us.

Jeddah's warehouse operators range from family owned food importers to contract logistics firms running several buildings. The right scope depends on what you store, who you deliver to and how sharply your volumes move during the year. Here are four situations we see often in the city. Each one starts with a short discovery phase by video call, where your managers show us the site on camera and we agree what the first release must fix.

01

A food and beverage importer with its own cold store

You bring in chilled and frozen product through Jeddah Islamic Port and distribute to supermarkets and food service. Expiry losses and temperature incidents hurt margins more than anything else. We focus the first release on receipt with batch and expiry capture, temperature zones linked to your sensors, and first expiry, first out picking. Once those are steady, we add customer shelf life rules and route based loading so trucks leave in the right order.

Start with expiry control; it usually pays back first.

02

A supplier to Makkah and Madinah hospitality

Your customers are hotels, caterers and pilgrim service companies, and their orders surge in Ramadan and the Hajj season, then drop. You need a system that plans waves, prioritises by delivery window and shows managers whether the floor can meet the next convoy. We design season planning screens and supervisor views that make the peak visible days in advance, and we keep the off season flows simple so staff are not maintaining complexity they rarely need.

03

An online retailer fulfilling from Jeddah

You sell to customers across the Western Region and ship daily through several couriers. Mispicks, slow packing and lost returns are the complaints you hear most. We build batch picking, scan checked packing, courier label printing and a returns flow, connected to your online store and courier accounts. Order cut off times and courier collection slots shape the pick plan, so the parcels for the earliest collection are always packed first.

Shopify, WooCommerce or a custom store can feed orders in.

04

A contract warehouse planning for Al Khumrah

You run storage for several clients and expect to take space in the new logistics developments south of the city. Each client wants different rules, reports and charges, and some hold re-export stock. We build a multi client system with separate products, statuses and portals, plus billing captured from scans. Because it is your own platform, adding a new building or a new client is a configuration task, not a new licence negotiation.

From first call to a Jeddah warehouse running on scans.

  1. 01Discovery by video callYour managers show us the cold rooms, dry stores, docks and offices on camera. We gather sample orders, labels, sensor exports and customer requirements, then agree the problems the first release must solve.
  2. 02Season aware scopeWe map your year, including Ramadan, Hajj and any retail peaks, and plan releases so nothing new goes live in your busiest weeks. Scope and dates are written down and signed off.
  3. 03Zones, locations and statusesTemperature zones, bin codes, stock statuses such as re-export or quarantine, and client ownership are set up first. Everything else in the system depends on getting this model right.
  4. 04App and dashboard buildHandheld screens for receiving, putaway, picking and counting are built with the supervisor dashboard. Floor staff test them in Arabic and English, with gloves on in cold rooms where relevant.
  5. 05Pilot and parallel runningOne chamber, one client or one order type goes live first while the old method continues alongside. Opening stock is counted into the new locations and checked before the switch.
  6. 06Integrations and growthERP, accounting, online store and courier connections follow, then season planning and reporting improvements based on what your team learned in the first busy period.

Technology

What we build this with.

We use rugged Android scanners and tablets, including models rated for freezer use, with an app that works offline. Dashboards and portals run in the browser. Hosting is agreed with you, and Saudi based cloud regions are available where customer contracts or policy call for them.

What Jeddah warehouse operators ask us first.

The number of zones, clients, integrations and devices in the first release.

A single dry store with basic receiving and picking needs far less work than a multi temperature site with sensor feeds, re-export statuses and client billing. Integrations with your ERP, online store and couriers each add effort, as do custom label formats. Hardware such as scanners, printers and RFID readers is a separate budget line. We price after discovery, once the scope is written, so you are comparing real options rather than guesses.

Tell us what the business needs. We will tell you what to build first.
