Codeeo HR is HRMS software for teams spread across countries.

Codeeo HR is our own HRMS software: one place for employee records, hiring, attendance, leave, payroll, performance and offboarding, with a web system for HR and a mobile app for staff. We set it up for organisations that employ people in more than one country, configure it around each entity's rules, and build the custom pieces your operation needs around it. HR stops reconciling five spreadsheets from five offices and starts working from one record per person.

Built for
Employers with staff in two or more countries who want one HR record for every person, wherever they are hired.
Typical timeline
Rollout order and dates are agreed in discovery, usually one entity first, and written down before configuration starts.
What you own
Your employee data, your configuration and any custom modules we build for you, with exports of your records available whenever you need them.

In short

Multi country employers rarely fail on features. They fail on the details: a different leave year in each office, salaries paid in several currencies, managers who approve from a phone. Codeeo HR is configured to handle that variety rather than force one policy on everyone. Where a country needs something the product does not yet do, we build it as custom work.

What Codeeo HR covers

Ten modules, one employee record behind all of them.

Cloud HRMS tools often look complete in a demo and then struggle the first time a second country is added. Codeeo HR starts from the employee record and hangs every other module off it, so a person's contract, leave balance, payslips and reviews stay linked even when they transfer between entities. Each module below can be switched on per entity, which lets a regional office start with records and leave while headquarters runs the full set. Settings that change by country, such as working week, public holidays, currency and pay components, sit at entity level rather than in one global rulebook that nobody can follow. Permissions follow the same structure, so access can be granted per entity, per department or per role.

Explain your project
  • Employee records

Personal details, job information, contracts and documents held against one profile, with the employing entity, reporting line and work location recorded so HR in any office can find the right person and the right paperwork quickly. Expiry dates can be recorded against documents such as permits and certificates. Line managers see their direct reports, wherever those people are employed.

One profile per person across every entity you run.

  • Recruitment and onboarding

Vacancies opened by entity, applicants tracked through stages, offers issued from templates, and joining tasks assigned to HR, IT and the hiring manager so a new starter in a smaller office gets the same welcome as one at head office. Hiring managers see only their own vacancies and candidates.

Hiring follows one process even when offices differ.

  • Attendance and shifts

Working hours, overtime, shift schedules and daily attendance, set per site and per working week. An office that works Sunday to Thursday and another on Monday to Friday sit side by side without manual corrections. Overtime is calculated from the rules you set for each site.

Attendance that respects each site's working week.

  • Leave management

Leave requests, balances and approvals, with leave types, accrual rules and holiday calendars defined per country. A manager approving two team members in different offices sees each balance calculated on that person's own policy. Public holidays are loaded per country so balances never count them as leave. Carry over and expiry rules can be set per leave type.

Balances employees trust because the rules match their contract.

  • Payroll

Salaries, allowances, deductions and payslips, run per entity in the currency that entity pays. Country specific statutory rules are configured and confirmed with your local payroll or tax adviser, never assumed from a template. Each run is reviewed and approved before payslips are released.

Each entity runs payroll on its own terms from shared data.

  • Performance management

Goals, reviews, feedback and development plans on a common cycle, so a regional director can compare teams in different countries on the same basis while managers keep notes on their own people. Review templates can differ by department or seniority.

Review cycles that run on time in every office.

  • Employee self service

Staff update their details, request leave and download documents such as payslips and letters themselves, on the web or the mobile app, which takes routine requests away from HR teams that are often only one or two people per country. Managers see pending requests from their team in one list and act on them in a tap.

Fewer routine emails reaching small local HR teams.

  • Expenses and benefits

Reimbursement claims with receipts, insurance details and benefits records per employee, with claim categories and approval limits that can differ between entities. Approved claims flow into the next payroll run for reimbursement.

Claims approved against the right policy for each country.

  • Offboarding

Resignations, clearance steps, asset returns and final settlement workflows, so a leaver in any office goes through the same checklist and nothing is missed when the final payment is calculated. Final settlement figures are reviewed by HR before they are paid.

Clean exits with every step signed off.

  • HR reporting

Headcount, turnover, attendance and payroll reports by entity, country or the whole group, built from live records rather than monthly spreadsheets each office sends in. Reports export to spreadsheet when finance needs to work with the figures.

Group level numbers without a monthly consolidation exercise.

Who this is for

Four kinds of employer that come to us for Codeeo HR.

Most of the organisations we talk to are not short of HR tools. They have too many, one per country or one per function, and nobody trusts the totals. These are the situations where a single HR and payroll software platform, set up properly, changes the most. Each one starts with a different problem, so each rollout starts in a different place.

01

Growing companies that opened a second or third country

The first office ran on spreadsheets and it worked. Then a second entity arrived with its own contracts, currency and holidays, and the spreadsheets doubled. We move both entities into Codeeo HR, keep each one's rules separate and give leadership one view of the whole company for the first time. HR then spends its time on people rather than on copying figures between files.

The right time to switch is before the third entity, not after.

02

Multi site employers with shift workers

Warehouses, clinics, hotels and retail sites often schedule staff in shifts, with overtime rules that vary by location. Codeeo HR holds schedules and attendance per site, and supervisors work from the mobile app on the floor instead of a shared office computer that nobody can reach during a shift. Site managers can see who is on shift today and who has requested time off next week.

03

Companies with a mixed nationality workforce

Expatriate and local staff often sit on different contract types, document requirements and benefits. We configure document records with expiry dates, plus benefit records, so HR can see at a glance which visas, permits or certificates need attention in which country, without relying on one person's memory. Contract types and benefits are recorded per person, so payroll applies the right components automatically.

04

HR teams replacing several disconnected tools

A recruitment tool here, a leave app there, payroll with an outside bureau and performance reviews in documents. We map what each tool does today, decide what Codeeo HR replaces and what it should connect to, and plan the switch so nothing is lost in between. Where a tool is worth keeping, we connect it rather than replace it for the sake of it.

Six stages from first call to every entity live on Codeeo HR.

  1. 01DiscoveryWe list every entity, its working week, leave policies, pay components and current tools, then agree which country goes first and what custom work, if any, belongs in the first release.
  2. 02Data migrationEmployee records, balances and history are cleaned and imported from spreadsheets or your old system, entity by entity, with HR checking samples before anything is signed off.
  3. 03Leave and pay rule configurationLeave types, accruals, holiday calendars, allowances and deductions are set per entity, then reviewed with your HR leads and local payroll advisers for each country. Nothing goes live on assumptions.
  4. 04Parallel payroll runThe first entity runs payroll in Codeeo HR alongside its existing process for at least one cycle, and every difference is explained before the old process is retired.
  5. 05LaunchManagers and staff are invited, the mobile app is rolled out, HR is trained by video call, and further entities follow in the order agreed during discovery.
  6. 06SupportWe fix issues, adjust rules when a country changes its policies, and add entities or modules as your organisation grows into new markets.

Technology

What we build this with.

The web system is built on Next.js, so HR and managers work in a fast browser application. Staff use a Flutter mobile app on iOS and Android, sharing one codebase, which keeps features consistent between the two phones your workforce actually carries. Custom modules we build for you use the same stack, so they behave like the rest of the product.

Questions multi country employers ask about Codeeo HR.

Yes, each country runs as its own entity inside one system.

Codeeo HR separates entities so each keeps its own working week, holiday calendar, leave types, currency and pay components, while employee records, reporting and self service stay shared. Group HR sees everyone; a local HR manager can be limited to their own country. Transfers between entities keep the person's history intact rather than creating a second profile. Approval chains can differ too, so a request in one country might go to a line manager only while another needs HR sign off as well.
