Formation apps built for the UK's new Companies House rules.

Company formation app development UK firms need has changed since the Economic Crime and Corporate Transparency Act. Incorporation is no longer just a form and a fee: directors and people with significant control must verify their identity, every company needs an appropriate registered office and a registered email address, and the firms doing the work carry anti money laundering duties. We build apps that make those requirements manageable for formation agents, accountancy groups and legal practices across the country.

A national provider deals with every UK jurisdiction, many client types and often several offices. The app has to apply one consistent compliance process everywhere while still reflecting the differences between England and Wales, Scotland and Northern Ireland.

Platform capabilities

What a national formation platform has to do well.

The reforms have arrived in stages. From March 2024 Companies House began requiring a registered email address, an appropriate registered office and a lawful purpose statement on incorporation, and gained stronger powers to query and reject information. From 18 November 2025 identity verification became mandatory for new directors and people with significant control, with existing officers given a transition period. Firms that verify on behalf of clients must register as Authorised Corporate Service Providers, and only firms supervised under the Money Laundering Regulations can do so. Separately, the government has announced that AML supervision of accountancy and company service providers will move to the FCA. A national formation platform has to absorb all of that while staying simple for the client. The capabilities below are grouped around those obligations.

Explain your project
  • Jurisdiction aware incorporation

One application flow that handles companies registered in England and Wales, Wales, Scotland or Northern Ireland, enforcing the matching registered office rules and adjusting guidance for each. Cross border groups are captured explicitly so the jurisdiction of every entity is a decision, not an accident of a default setting.

Every company is registered where it should be.

  • ACSP verification module

For firms registered as Authorised Corporate Service Providers, a structured identity check workflow: document capture, liveness or face match through a provider you select, reviewer decision, verification statement and a full audit trail. Clients who verify directly with Companies House are tracked by personal code.

Identity work is consistent across every office and reviewer.

  • Central AML policy engine

Your firm wide risk assessment translated into rules: which client types need enhanced due diligence, which countries trigger review, which screening hits stop a case. Policy changes are made once by compliance and apply in every office immediately, with a dated record of what changed.

Head office sets policy; every branch follows it.

  • Officer and PSC lifecycle

Beyond formation, the platform tracks appointments, resignations, PSC changes and the identity status of officers appointed before the new rules, alerting clients ahead of the confirmation statement where their verification deadline falls. Bulk actions let your team chase many officers at once. Officers update their own details from the app.

Existing client companies stay compliant after formation.

  • Companies House data and filing

Lookups through the Companies House public data API to prefill and cross check company and officer details, and submission through the software filing service where your firm has been granted access, with acceptance and rejection messages written back to the case. Field level validation catches common rejection causes before submission.

Less retyping, and rejections handled the same day.

  • Registered office and email compliance

Since March 2024 every company needs an appropriate registered office, where documents will come to someone's attention, and a registered email address that Companies House can use. The app validates both at formation, manages your own address products where you sell them, and keeps evidence that each address is still in use when a client renews.

Address and email requirements are met from the first day.

  • Payments across product lines

Formation packages, address services, company secretarial plans and verification fees taken by card, Apple Pay, Google Pay or Open Banking payment through your provider, with subscriptions, VAT invoices and refunds managed from the admin platform. Failed renewals alert the right office automatically.

One billing view for every product you sell.

  • Accessible client experience

Screens designed to WCAG 2.2 AA so founders using screen readers, magnification or keyboard navigation can complete a formation, supporting your duties under the Equality Act 2010. Plain English guidance explains company terms without legal jargon. Error messages explain what to fix in plain words.

More clients finish without needing to phone.

  • Consent and marketing controls

Privacy notices, consent records and marketing preferences handled in line with UK GDPR and PECR, so follow up emails and texts about add on services go only to clients who agreed to receive them, and opt outs apply everywhere at once. Consent history is visible to staff handling complaints.

Marketing stays within the rules the ICO enforces.

  • Multi office reporting

Dashboards for directors and compliance leads showing volumes, turnaround, rejection reasons, verification backlogs and risk outcomes by office, product and referral source, exportable for board packs and supervisor visits. Figures refresh daily from live case data. Compliance leads can drill down to a single case.

Leadership sees the whole operation in one place.

Who we build for

Four national providers this is designed around.

Formation in the UK is served by a mix of large online agents, accountancy networks with offices in many towns, law firms with corporate departments in several cities and specialist company secretarial businesses. Their volumes and risk profiles differ, but since the identity reforms they share one problem: a compliance process that must be applied identically everywhere, by many people, and evidenced on request. These are the four organisations we design for most often.

01

National online formation agents

You form large numbers of companies for founders across the UK and abroad, mostly through your website. Company incorporation app development UK agents in this position commission focuses on automation: document capture, screening and identity checks that run without manual effort for low risk cases, and a sharp review queue for the rest. Mobile apps then add value after formation through mail notifications, renewals and officer changes, which keeps clients with you for years. Founders abroad get guidance tailored to the documents they hold.

Retention after formation is where apps earn their keep.

02

Accountancy networks and groups

Your offices each onboarded clients their own way until the identity rules forced consistency. Business registration app development UK groups ask us about typically means one shared onboarding and formation platform for every office, a firm wide AML policy enforced in software, and links into the practice management system the group has standardised on. Local partners keep their client relationships while head office sees the full picture. New offices joining the group can be onboarded onto the platform in days of training rather than months of process design.

03

Law firms with offices in several cities

Corporate teams in London, Manchester, Leeds, Edinburgh or Belfast may all form entities for transactions, each with slightly different habits. A shared platform with jurisdiction aware templates, matter links and partner approvals gives every office the same controls while respecting differences in Scottish and Northern Irish practice. Risk and compliance teams finally see every new entity the firm has formed in one view. Precedent templates stay under the control of each office's knowledge team. Fee earners in each city see only the matters they work on.

04

Company secretarial and registered agent businesses

You look after thousands of existing companies, and the transition to verified identities for every director and PSC is a large, deadline driven project. An app that tells each officer exactly what to do, tracks completion and escalates stragglers turns that project into a managed process. Afterwards the same platform supports routine filings and keeps your service visible to clients between annual tasks. Clients who verify early can be recognised and thanked.

Transition work becomes ongoing client engagement.

How we plan and roll out a national formation platform.

  1. 01Discovery across officesVideo call sessions with compliance, operations and representatives from several offices or product teams, mapping how formations, checks and renewals actually happen in each.
  2. 02Policy to product mappingYour AML policy, identity procedures and jurisdiction rules converted into flows and decision rules, then signed off by your compliance lead before design starts.
  3. 03Design system and accessibilityA shared design system for client apps and staff tools, tested against WCAG 2.2 AA and with real clients of different ages and confidence levels.
  4. 04Platform buildClient apps, admin platform and integrations with Companies House, screening, payments and practice software, built in sprints with demos to stakeholders across the business.
  5. 05Phased rolloutOne office or product line goes live first, issues are fixed, and other offices follow in an agreed order with training recorded for each team.
  6. 06Governance and releasesA release plan that tracks regulatory change, supervisor feedback and usage data, with compliance approving any change to decision rules.

Technology

What we build this with.

Native or cross platform mobile apps, a web admin platform, cloud hosting in a UK or EU region if your policies require it, and an integration layer designed so screening, payment or practice software providers can be replaced later without rebuilding the app.

Common questions about building a UK formation app.

The identity, address and AML rules introduced by the Economic Crime and Corporate Transparency Act.

A formation app built today must handle verified identities for directors and PSCs, appropriate registered office addresses, registered email addresses and lawful purpose statements, alongside the customer due diligence your firm owes under the Money Laundering Regulations. It also has to cope with the four jurisdictions of registration and with officers appointed before the reforms. Anything built on the old assumptions will need reworking quickly. We start every project by checking the current Companies House guidance.
