Attendance apps for London's contract crews, venues and hybrid offices.

Our employee attendance app development London work focuses on employers whose people are hard to see from a head office: cleaners and security officers spread across client buildings, kitchen and bar teams finishing after midnight, site operatives on construction projects, and hybrid staff in the City and Canary Wharf. The app records attendance where the work happens, applies your pay and rest rules, and keeps the evidence that UK working time, minimum wage and data protection law expect.

Codeeo has no London office. Our team of 80+, based in Dubai, Riyadh and Karachi, works remotely with London clients, holding discovery sessions, design reviews and acceptance testing by video call. Ownership of the code and data sits with you from the first day of the project.

Capabilities

What a London attendance app needs to handle.

London employers face a particular problem with attendance: the workplace often belongs to somebody else. A cleaning contractor's staff start at five in the morning in an office tower they do not manage. A security officer covers a different client building each night. A chef finishes after the last Night Tube has run, and a project manager splits the week between home, a client and the office in Farringdon. Paper signing in sheets and phone calls to a duty manager cannot keep up. We design attendance capture that works on the client's premises without depending on the client's systems, then gather everything into one record for your operations, HR and payroll teams. The list below covers the features London clients most often choose. A first release normally includes four or five of them, picked during discovery according to where hours are being lost or disputed today and where clients are asking for proof of attendance.

Explain your project
  • Client site check in by QR or NFC

A small tag or QR code fixed inside each client building lets a cleaner or officer confirm arrival without touching the client's network. The scan proves presence at that site, carries the right contract code and works even when mobile signal in a basement plant room is poor.

Proof of attendance at every client building, ready for billing.

  • Lone worker welfare checks

Security officers and night cleaners working alone get timed prompts to confirm they are safe. A missed check escalates to the control room or duty manager, with the last known check in point attached, so help goes to the right building rather than a guess.

Night shift staff are never out of contact for long.

  • Licence and site card expiry tracking

SIA licences for security roles and the site cards many construction projects require for entry carry expiry dates. The app stores those dates, reminds staff and HR before they lapse, and prevents rostering someone into a role whose licence has expired. Renewal status is visible to the scheduler at a glance.

Nobody is sent to a post they are no longer licensed for.

  • Night work and rest checks

Restaurants, bars and hotels in the West End and Soho keep staff late, and some count as night workers. The app records night hours, compares them with the regulations' average limit for night work, and flags a close followed by an early open that leaves too little daily rest.

Late rotas are checked against the law before staff are booked.

  • Travel disruption notes

Strike days and line closures happen. Staff can attach a short reason to a late arrival, and managers decide under your policy whether the time is paid. Reports show which teams and routes cause recurring lateness, which helps when setting start times. No location data is needed for this; the note is enough.

Late marks come with context that managers can act on.

  • Living Wage evidence for contracted staff

Employers accredited with the Living Wage Foundation commit to paying the London Living Wage to directly employed staff and regular contracted workers. Accurate hours by contract, combined with the rate paid, make it straightforward to show a client or the accrediting body what each person earned per hour worked.

Your pay commitments are backed by clean hour records.

  • Hybrid office attendance

For firms in the City, King's Cross or Canary Wharf, staff confirm office days by tapping in at reception or confirming in the app. Leaders see team level patterns over a month, which helps plan floor space and team days without monitoring individuals minute by minute.

Office use is measured fairly and planned with real data.

  • Contract level reporting for clients

Facilities and security contracts often require proof that agreed hours were delivered. Reports by client, building and month show scheduled hours against actual attendance, with exceptions explained, ready to share in a monthly contract review. A client view can be shared securely, limited to that client's own sites and showing totals rather than personal details about individual workers.

Contract reviews start from facts, not disputes.

  • HR and payroll connection

Approved hours flow to your payroll package and HR system through an API or a scheduled export in the exact format they import. Premium rates for nights, bank holidays and call outs are mapped during discovery and tested against previous payrolls. Any rejected record is returned to the approver with a reason.

Pay is calculated from approved attendance, once.

Who we build for

Four kinds of London employer this suits.

Most London attendance projects begin with a contract or a complaint: a client wants proof that agreed hours were delivered, or staff dispute what they were paid. The four situations below cover most of what we see. In each one, the first release is chosen to fix that specific problem quickly and cleanly, and the rest of the platform is built on the data it starts to collect from the first week. Where several of these apply to one business, we start with the one that costs the most each month.

01

Facilities and cleaning contractors

Contractors serving office buildings across Westminster, the City and Docklands manage hundreds of short early shifts at sites they do not control. We build tag based check in at each client building, absence cover alerts so a missed start is filled before the client notices, and monthly contract reports. Staff paid the London Living Wage can see their own hours, which builds trust and cuts payroll queries considerably. When a client adds a building, it can be set up in the dashboard the same day.

Tags are installed with each client's agreement.

02

Security companies

Manned guarding means officers working alone, often overnight, with licences that must stay valid. The first release usually brings together patrol point check in, timed welfare checks with escalation to a control room, SIA licence expiry alerts and hours by contract for invoicing. Control room staff see in one screen which posts are covered and which are not. Hours by officer also help you check that nobody is working beyond the weekly limit across several contracts without a signed opt out on file.

03

Hospitality groups

Restaurant and bar groups with sites from Shoreditch to Covent Garden need fast clocking at the pass, night work tracking and rotas that respect rest periods after late closes. We add shift swaps, break recording and a weekly sign off for each general manager, with hours split by venue for labour costing across the group. Seasonal staff taken on for summer terraces or Christmas trading can be onboarded quickly and removed cleanly when their contract ends, so old accounts never linger.

Staff can clock in on a shared tablet if they prefer.

04

Construction and fit out contractors

Fit out and refurbishment projects across London change their subcontractor mix every few weeks. The app records who is on site each day, which subcontractor they belong to, and whether their site card and inductions are current. The live headcount supports fire safety on site, and daily attendance helps reconcile subcontractor invoices at month end. Principal contractors can be given a read only view of attendance for their project, which saves daily emails between site managers and head office.

From first video call to live attendance data.

  1. 01Contracts and sites reviewWe look at your client contracts, site list and rota patterns, and talk to operations, HR and a field supervisor about where hours are lost, disputed or impossible to prove today.
  2. 02Privacy and monitoring assessmentA data protection impact assessment covering site check in, welfare prompts, any location use and retention, written with your data protection lead before design work begins. Workers are told before launch.
  3. 03Design for the people on shiftScreens for cleaners, officers, chefs and supervisors tested on real phones and kiosks, with large buttons, few words and translations where your teams need them. Feedback is gathered on site.
  4. 04Build and integrateField app, supervisor tools, client reporting and payroll links built in short sprints, demonstrated by video call after each one and adjusted on your feedback. Every sprint ends in a working demo.
  5. 05Pilot on selected contractsA small group of client sites switches first. We compare hours with the previous method through a full pay cycle and resolve every difference before going wider. Field supervisors confirm the result.
  6. 06Full rollout and ongoing supportRemaining contracts move across in planned waves. After launch we handle fixes, rule changes when pay rates or contracts change, and new features driven by the data. Support terms are agreed in writing.

Technology

What we build this with.

We choose frameworks, hosting and databases to suit your payroll, HR and rostering systems, your clients' security expectations and the people who will support the platform once it is running day to day. Field apps are tested on older handsets as well as new ones, because contract staff rarely carry the latest phones.

Questions London employers ask about attendance apps.

Discovery is scoped first, and the build is priced from what it finds.

We do not quote a figure before seeing your contracts, sites and systems. Cost depends on how many worker groups need their own flow, how many client sites need tags or kiosks, whether lone worker welfare checks and escalation are needed, and how many systems the app connects to. After discovery you receive a written scope and price for the first release, with later phases listed separately so you can decide what to fund and when.
