Rental apps for UK hire networks, from one depot to a national branch estate.

Codeeo delivers equipment rental app development in the UK for plant, tool, access, event and specialist hire companies. We build customer apps for booking and off hire, driver apps for proof of delivery, and back office dashboards that track stock, inspections and contracts across every branch. The result is one platform that works the same way in Glasgow as it does in Bristol, while respecting the rules that differ between the nations of the UK.

We have delivered 200+ projects across the UAE and the US, with a team of 80+ working from Dubai, Riyadh and Karachi. For clients in the UK we work remotely, and discovery, design reviews and demos all take place by video call.

Platform capabilities

What a national hire platform has to do well.

The UK hire sector ranges from family run tool shops to groups with hundreds of branches, and many national contractors hire from several suppliers at once. Equipment is lent out under statutory inspection duties, hired to consumers under consumer protection and sometimes consumer credit rules, and moved between depots, cross hire partners and customer sites every day. Payments mix card, Direct Debit, credit accounts and, increasingly, open banking.

The capabilities below are the ones that matter once a hire business operates at regional or national scale. They focus on consistency across branches, compliance with UK law, and data you can rely on for decisions about fleet investment. We prioritise them with you in discovery, usually starting with what is causing the most manual work or the most risk.

Explain your project
  • National stock and transfers

One stock record across every branch, with transfer requests between depots and visibility of items in transit. Regional managers can see where demand is building and rebalance the fleet, while customers anywhere in the country see availability from the nearest branches that can deliver on the date they need. Branch staff can reserve stock held elsewhere and request the transfer in the same step.

Fleet moved to where demand is, not left idle in the wrong region.

  • Statutory inspection control

Lifting equipment and accessories need thorough examinations under LOLER, and work equipment must be maintained under PUWER. The app records examination dates, results and certificates for each asset, blocks overdue items from hire and sends the certificate to the customer with the delivery note.

Inspection evidence ready for customers and the HSE alike.

  • Cross hire management

When you do not hold an item, you can source it from another hire company and supply it under your own contract. The app records the cross hire supplier, cost, dates and condition, and links it to the customer's hire so margins and returns are tracked properly. Off hires are passed back to the cross hire supplier automatically, so you stop paying for kit your customer has already returned.

Cross hires visible and profitable rather than lost in email.

  • National account frameworks

Large contractors and facilities companies often agree national rates, approved product lists and ordering rules. The app applies those terms on every site, enforces approval limits and purchase orders, and gives the customer's procurement team a consolidated view of hires across the country.

National customers ordering under their agreed terms everywhere.

  • UK payment options

Card payments with Apple Pay and Google Pay for walk in hirers, Bacs Direct Debit for regular account customers, open banking payments for faster settlement and credit accounts for the trade. Deposits and damage charges are handled through the same payment provider. Failed Direct Debits and declined cards raise a task for your credit control team.

Each customer pays the way they already prefer.

  • Driving licence checks

For self drive vans and towable plant, the app collects licence details and the check code customers generate through the official DVLA service, so staff can confirm entitlement and endorsements before release. Results are stored with the contract and the check is repeated on your schedule. Agency drivers sent by a contractor go through the same check before they take a vehicle.

Self drive hires released only to entitled drivers.

  • Trade account vetting

New business customers enter their company number and the app looks up their Companies House record to confirm name, status and registered address. Your credit team then sets limits and terms in the dashboard before the first order is placed. Dissolved or struck off companies are flagged before an account is approved, and checks can be repeated when an account is reviewed.

Credit decisions start from verified company details.

  • Consumer hire paperwork

Private hirers receive clear terms, pre contract information and confirmation of their booking. Where a hire to an individual could run for more than three months, it may be a regulated consumer hire agreement under FCA rules, so the app can flag those cases for your compliance team.

Consumer hires documented in line with UK requirements.

  • Accounting and VAT export

Contracts, charges and credit notes feed your accounting system through its API, keeping digital records that support Making Tax Digital for VAT. Finance teams reconcile hire income by branch without rekeying delivery notes.

Cleaner books and fewer month end corrections.

  • Fleet investment reporting

Utilisation, revenue, repair costs and age for each asset group, by branch and region. Directors can see which product lines earn their keep, where to buy more and which ageing assets to sell. Reports can be filtered by nation, region or individual branch and exported for board packs.

Purchase and disposal decisions backed by data.

Who this suits

Four UK hire businesses we are built to help.

The right platform depends on your size and how far your branches spread. A single depot app needs very little of the national account and transfer logic a large group depends on. Below are four situations where custom equipment rental app development in the UK makes the clearest commercial sense, along with the first release we would normally suggest. Where a business sits between two of these, we design so the platform can grow from one to the next without a rebuild.

01

Regional groups expanding into new cities

A group with branches across one region that is opening in new cities needs consistent processes from the start. We build the platform so a new branch can be added with its stock, delivery zones and staff in the dashboard, without new code. The first release covers booking, transfers and proof of delivery, then rolls out branch by branch with each new opening.

New branches go live by configuration, not development.

02

National hire networks replacing several old systems

Many established hirers have collected separate tools over the years for bookings, transport, workshops and reporting. We help you plan which to keep, which to connect and which to replace, and build customer and driver apps that sit on top. Rollout runs region by region, so a problem in Scotland never stops trading in the Midlands.

03

Specialist hirers with nationwide customers

Firms renting test and measurement equipment, broadcast kit, survey instruments or medical devices often serve the whole country from one or two hubs, shipping by courier. Their apps focus on serial tracking, calibration certificates, courier booking and returns labels rather than local delivery runs. We build around that model, including holds and quotes for repeat business customers. Returns are checked against the serial list on arrival at the hub, and calibration due dates are tracked per instrument.

04

Independent hirers competing with national chains

A single depot or small local group can win trade customers by offering the self service that larger chains provide. A focused app for booking, off hire and account statements, carrying your own brand, gives contractors a reason to stay. We keep the scope tight so the investment matches the size of the business. Further features follow only when the first release has proved its value with your own customers.

A small, focused app can hold trade customers loyal.

Six stages from discovery to a national rollout.

  1. 01Discovery across branchesVideo calls with head office, branch managers, drivers and fitters in different regions, so the platform reflects how every part of the business works, not only the head office view.
  2. 02Compliance and data reviewWe list the legal duties that affect the app, including UK GDPR, inspection records and consumer rules, and decide where data will be stored and who can see it.
  3. 03Platform designCustomer, driver, workshop and management screens designed as one system, with roles and permissions that match your branch structure.
  4. 04Build and integrateDevelopment in stages with demos at the end of each, and integrations with your accounting, payment and telematics providers tested against real data.
  5. 05Pilot and regional rolloutA pilot branch first, then region by region, with training material and support so each area adopts the app with minimal disruption to trading.
  6. 06National operationOngoing releases, monitoring and reporting improvements as more branches and customers use the platform, guided by data from across the country.

Technology

What we build this with.

The stack is chosen around your existing systems, your payment providers and the people who will maintain the platform. Hosting can sit in UK data centres where your policies require it, and every account is set up in your company's name.

Questions UK hire companies ask us.

Data protection, consumer rules and inspection records, at minimum.

UK GDPR and the ICO's guidance shape how you collect and keep customer and driver data, and PECR governs marketing messages. Consumer bookings need clear pre contract information and terms, and some longer hires to individuals may be regulated consumer hire under FCA rules. For equipment itself, LOLER and PUWER records matter. We design for these and recommend you confirm the detail with your own legal advisers.
