Point of sale systems built for UK rules and estates across many cities.

Codeeo delivers POS software development UK retailers, hospitality groups and franchise networks rely on when one till has to work in many places under one set of national rules. We build checkout apps, manager tools and a central admin platform, connect them to card terminals and accounting software, and design them around PCI DSS, Making Tax Digital for VAT, UK GDPR and the licensing differences between England and Wales, Scotland and Northern Ireland.

A chain does not fail at one till. It fails when fifty tills disagree about a price, a VAT rate or a licensing hour. Custom POS software development in the UK gives head office one source of truth while each site keeps the settings its location requires. That balance between national control and local detail is what packaged tills tend to lose as an estate grows.

What a national system needs

Capabilities that hold up across a UK wide estate.

A point of sale system for one shop can be simple. A system for an estate that stretches from Cornwall to Aberdeen has to cope with differences in licensing law, trading hours, regional pricing, connectivity and staff turnover, while still producing one set of national figures for finance and one consistent experience for customers. It also has to satisfy the card schemes, HMRC and the ICO at the same time. The capabilities below are the ones national clients ask about most. We prioritise them by the risk and cost they remove, and phase the rest across later releases rather than loading everything into the first launch.

Explain your project
  • Central pricing with regional rules

Head office sets products, prices and promotions once. Regions or individual sites can carry approved variations, such as different prices for city centre and travel sites, and every change is scheduled, logged and pushed to the right tills automatically. Price changes can be timed to the start of trading, so no customer sees two prices for the same item on the same day.

Every till shows the price head office intended.

  • Licensing rules by nation

England and Wales license alcohol under the Licensing Act 2003, Scotland under the Licensing (Scotland) Act 2005, and Northern Ireland has its own licensing law. The till applies each site's permitted hours and its age verification policy, including the mandatory policy Scottish premises must operate.

Each site follows the rules of the nation it trades in.

  • Trading hours and Sunday rules

Large shops in England and Wales are limited in their Sunday opening hours under the Sunday Trading Act 1994, while Scotland has no equivalent restriction. Site profiles hold the correct hours, and reports separate Sunday trade so planners can compare like with like across the estate.

Opening hours and reporting match the law in each nation.

  • PCI DSS by design

We build around semi-integrated or point to point encrypted terminals, so card data is read and processed outside your till software. That keeps your stores largely outside card data scope under PCI DSS version 4, and simplifies the evidence your acquirer requests each year.

Card data stays off your network.

  • Strong Customer Authentication and wallets

Under the Payment Services Regulations overseen by the FCA, some card payments must be authenticated by the customer. Our payment flow handles PIN and wallet prompts properly, accepts Apple Pay and Google Pay, and can add pay by bank through Open Banking where your provider supports it. Declines show staff a plain reason, such as a phone wallet that needs the customer to confirm with Face ID or a passcode, rather than a code.

Fewer failed payments and more ways to pay.

  • Making Tax Digital for VAT

Every VAT-registered business must keep digital records and move VAT data through digital links. The till records the rate on every line, including the mixed rates common in food and hospitality, and posts summaries to your finance system through a direct connection. Refunds always reference the original sale and rate.

A clean digital trail from sale to VAT return.

  • Tips under the Allocation of Tips Act

Hospitality groups must pass on tips in full, share them fairly and keep records under the Employment (Allocation of Tips) Act, in force since October 2024. The system captures tips and service charge per shift and site and produces allocation reports aligned with your policy.

Consistent, recorded tip handling across every site.

  • Accessible customer screens and kiosks

Self-service kiosks and customer facing displays should work for disabled customers, reflecting your duties under the Equality Act 2010. We design to WCAG 2.2 principles: readable contrast, reachable controls, screen reader support where the hardware allows and an easy way to call staff.

More customers can complete a purchase unaided.

  • Offline resilience across the estate

Rural sites, motorway services and city basements all lose connection sometimes. Every till stores sales locally and syncs when connectivity returns. Central monitoring shows which sites are offline and for how long, so support can act before takings are affected. Alerts can go to a regional manager as well as to central support.

No site stops trading because the line went down.

  • Phased rollout tooling

New sites and devices are set up from templates, with configuration pushed remotely rather than by an engineer on site. Software updates go to a pilot group first, then to the rest of the estate, and can be rolled back if a problem appears.

Rollouts and updates without a van of engineers.

Who this is for

Four UK operators who outgrow packaged tills.

National businesses rarely replace a point of sale system lightly. It touches every customer, every member of staff and every VAT return. Those who come to us usually have a specific reason: an estate spread across the nations, a franchise model, a mix of retail and hospitality or a packaged product that cannot do something central to how they trade. Codeeo has no UK office; we work remotely with clients across the UK and run every workshop and review by video call.

01

Retail chains across several regions

You run stores in many towns and cities, with different sizes, opening hours and customer profiles. Head office needs one product file, one set of prices with controlled regional variations and reliable figures by store, region and nation. We build central control, store level permissions and a rollout plan that moves sites over in waves without disrupting trade.

One product file, many stores.

02

Franchise networks

Your franchisees own their sites but must follow your brand standards and menu. You need visibility of sales for royalty calculations, while they need their own reporting and control over staff. We separate franchisor and franchisee roles, calculate royalties from actual sales and keep each franchisee's data private from the others. New franchisees can be onboarded from a template that carries the brand menu and standards.

03

Hospitality groups in England and Scotland

You operate restaurants, pubs or bars on both sides of the border. Licensing law, age verification policy and some trading patterns differ. We build site profiles per nation, apply the correct rules automatically and keep tipping records, kitchen flows and VAT reporting consistent across the group so finance sees one picture.

Different rules handled by the system, not by memory.

04

Operators mixing retail and food

Garden centres, farm shops, travel hubs and leisure sites often run a shop and a café under one roof. Packaged systems tend to be good at one and poor at the other. We combine retail checkout and table service in one platform, with shared customers, loyalty and reporting, and the correct VAT treatment for each line. Gift vouchers and memberships work in both the shop and the café.

How we plan, build and roll out a UK point of sale system.

  1. 01Estate discoveryOver video calls we review your site types, nations, devices, terminal contracts, finance systems and current pain points, and we sample real sales data from different regions rather than relying on head office summaries.
  2. 02Compliance and scopeWe map PCI DSS, Making Tax Digital, UK GDPR, licensing and tipping requirements against the design, agree the first release and write the scope, rollout order and dates into the agreement.
  3. 03Design and accessibilityStaff, manager and customer screens are designed together, checked against accessibility principles and reviewed with staff from several site types so the layout works in a flagship and a small branch alike.
  4. 04Build and integrateWe develop the till, central platform and integrations in short cycles, sharing working builds regularly and testing against your terminal provider and finance system from the start.
  5. 05Pilot sites in more than one nationWhere your estate crosses borders, the pilot includes a site in each nation, so licensing and trading rules are proven in practice before the wider rollout begins.
  6. 06Wave rollout and supportSites move over in planned waves with remote configuration. After launch we maintain the platform, follow changes in UK rules and terminal requirements, and deliver new features on an agreed roadmap.

Technology

What we build this with.

We select the stack around your terminal provider, device estate, finance and ERP systems and any online ordering platforms. Architecture, configuration and code are documented and held in your own accounts, so you keep full control of the platform.

Questions UK businesses ask before replacing their POS.

It depends on scope, integrations and the size of the estate.

The largest cost drivers are the number of order channels, the integrations with terminals, finance and ordering platforms, the device types and how many site profiles and nations you trade in. Franchise royalty logic and accessible kiosks add work. We quote a fixed price for the agreed first release and pilot, and estimate the rollout and later phases separately once the pilot has proved the design. Hardware, terminal fees and ongoing hosting sit outside the build and are shown separately so you can compare total running costs.
