Spa apps for UK hotel groups, day spa chains and wellness brands.

Codeeo delivers spa app development in the UK for hotel groups, day spa chains, leisure operators and growing wellness brands. We build one guest app for booking treatments, thermal sessions and spa days at any of your locations, a therapist app for rosters, and a central system for head office and site managers. For operators trading in several cities, the app has to feel like one brand while respecting very different local licensing, staffing and guest habits.

That means planning for UK GDPR and health data, consumer law on pricing, accessibility, and licensing that changes between England, Scotland and Wales, and between individual councils.

What the app can include

What a spa app needs when it serves sites across Britain.

A single spa can get by with a booking widget. A group trading across Britain cannot. Its guests expect the same account, vouchers and loyalty at every location, while each site has its own rooms, therapists, facilities and council requirements. Head office needs consistent reporting; site managers need control over their own rosters and menus. The law adds its own layer: health questionnaires are special category data under UK GDPR, marketing must follow PECR, prices shown to consumers must include unavoidable charges, and the app should meet WCAG 2.2 so disabled guests can book without help, in keeping with the Equality Act. We design these requirements into the product from the start, because retrofitting them across twenty sites is far harder than building them once.

Explain your project
  • Licensing rules by nation and council

London boroughs license special treatments under their own act. Some councils elsewhere, such as Birmingham, license massage premises; others register acupuncture, electrolysis and piercing. Scotland licenses skin piercing and tattooing under its civic government law, and Wales has licensed special procedures since November 2024. Each site's requirements are recorded and drive what it can sell.

Every location sells only what its own approvals allow.

  • Vouchers valid across the group

A voucher bought in Edinburgh can be redeemed in Bath if your rules allow it. Balances, expiry dates and site restrictions are held centrally, and finance sees outstanding voucher liability by brand and by site rather than piecing it together from separate systems. Corporate voucher orders can be issued in bulk with one invoice.

Gift sales work nationally and the accounts stay clear.

  • Clear total pricing

Spa days often include facility fees, robes or dining. The app shows the full price of a package, including unavoidable charges, before the guest pays, and lists what is and is not included. This supports compliance with UK consumer law, including the Digital Markets, Competition and Consumers Act 2024. Optional extras are shown separately and never pre-selected.

Fewer complaints and chargebacks about unexpected costs.

  • UK payment methods

Card payments with Strong Customer Authentication, Apple Pay and Google Pay are standard. For higher value packages and group bookings, Open Banking pay by bank can be offered through a regulated provider, and deposits or card guarantees protect scarce weekend slots. Refunds and partial refunds are handled from the admin system.

Guests pay the way they prefer and fewer payments fail.

  • Hotel group integrations

For hotel groups, the spa app connects to the property management systems used across your estate, recognising residents and posting charges to rooms where supported. Where different hotels run different systems, we design a common integration layer so the app behaves the same everywhere. Hotels without a usable interface can start with a simple daily export.

One spa experience across hotels with mixed systems.

  • Health questionnaires under UK GDPR

Contraindication questions are completed before arrival and stored as special category data, encrypted and restricted to therapists and managers at the guest's chosen site. Retention rules, access logs and data request handling are built in, ready for your records of processing and ICO expectations.

Sensitive answers are protected without slowing down treatment.

  • Consent led marketing

Marketing preferences are collected separately from booking, in line with PECR, and can be set by channel. Campaigns for vouchers, seasonal offers or lapsed guests only reach people who opted in, and every message carries a working way to opt out. Preference changes sync to your email platform automatically.

A marketing list you can rely on and defend.

  • Accessible booking and site information

Screens are designed and tested against WCAG 2.2: readable text, clear focus states and support for screen readers. Each site lists step free access, accessible treatment rooms and changing facilities, so guests with access needs can choose a location with confidence. Guests can add access notes that the therapist sees before arrival.

    More guests can book independently.

  • Rosters across a national team

Therapists are scheduled per site, with their qualifications, local approvals and preferred hours recorded. Cover can be arranged from nearby sites, and regional managers see staffing gaps across their area before they affect bookings. Holiday requests and sickness are recorded in the same place.

Staffing problems are spotted days ahead, not on the morning.

  • Group reporting for head office

Bookings, room utilisation, therapist productivity, voucher liability and repeat visit rates are reported by brand, region and site. Data can be exported to your finance or business intelligence tools, so the app becomes a source of truth rather than another silo.

Decisions about sites and staffing rest on the same numbers.

Who this is for

UK spa businesses that come to us.

National operators have different starting points. Some already run an app that cannot keep up with new sites; some rely on separate booking tools at every location; others are a single successful spa planning to grow. Each situation calls for a different first release and rollout plan. These are the four we see most, and the brief from discovery reflects which applies to you. Franchise models are also possible, with franchisees controlling their own sites inside a shared brand.

01

Hotel groups with spas in several cities

Hotel groups often run a spa in some properties but not others, with different property systems inherited through acquisitions. The app needs a common guest account, room charging where the systems allow it and a brand level look that each hotel can adapt. We plan integrations property by property, so the first hotels go live without waiting for every system in the estate to be connected. Spa packages can also be sold alongside room bookings on the hotel website.

Each property system is assessed before it is promised.

02

Day spa chains

Chains with standalone day spas in several towns rely on spa days, vouchers and repeat visits. Group wide vouchers, a shared loyalty scheme and consistent package rules matter most, together with clear reporting for each site manager. We design the admin side so that a new location can be configured and opened in the app without development work. Guests see the nearest site with availability first.

03

Leisure and fitness operators with spa floors

Health clubs and leisure operators often treat the spa as part of a wider membership. Members expect facility booking, treatment booking and allowances in one place, usually inside the club app they already use. We can build the spa as a module that connects to your membership system, or as a separate app if your brand strategy calls for it. Membership allowances, such as included treatments per month, are applied automatically.

04

Growing brands crossing into Scotland or Wales

A spa brand opening its first site in Glasgow or Cardiff meets a different legal system or a different licensing scheme. Treatments such as acupuncture or semi permanent colour may need new approvals there. The app keeps nation specific requirements, wording and approvals at site level, so expansion does not mean rebuilding the product for each part of Britain. Bilingual Welsh and English content can be added where you choose to offer it.

Requirements in each nation are confirmed with your advisers.

From one pilot site to a national rollout in six steps.

  1. 01Group discoveryVideo sessions with head office, finance, marketing and a few site managers to map brands, sites, systems, licensing and the priorities for the first release, all agreed in writing.
  2. 02Shared model, local settingsWe define what is common across the group, such as accounts, vouchers and loyalty, and what each site controls, such as menus, rosters, approvals and opening hours.
  3. 03Design and accessibilityBrand led guest screens and practical staff screens, tested against WCAG 2.2, with package pricing and inclusions presented clearly enough to satisfy consumer law.
  4. 04Build and core integrationsGuest app, therapist app and central system developed together, with payments, marketing tools and the first property or membership system connected.
  5. 05Pilot siteOne or two sites go live first. Real bookings, staff feedback and support requests shape fixes and refinements before the wider estate follows.
  6. 06Rollout by regionFurther sites are configured and launched in waves, each with staff training by video, while the backlog of improvements continues in parallel.

Technology

What we build this with.

Cross platform apps for iOS and Android, a web based central system and UK or EU hosting where you require it, with integrations built on documented interfaces so your own developers can maintain and extend them. Existing booking platforms are assessed before we suggest replacing them.

What UK spa groups ask before they commit.

It depends on the scope and the number of integrations, and we agree the plan in discovery.

The first release usually covers booking, payments, vouchers and rosters at one or two pilot sites. Its schedule depends on how many systems must be connected, such as property, membership or accounting software, and how quickly your teams can supply menus and feedback. Rollout to the rest of the estate then follows in waves agreed with you. Everything is written down before design begins, so nobody is working to an unspoken deadline. Seasonal peaks, such as Christmas voucher sales, are planned around.
