Building apps for New York co-ops, condos and the agents who run them.

Community management app development New York, for cooperative boards, condominium boards of managers and the managing agents responsible for prewar co-ops on the Upper West Side, glass condos in Long Island City and garden apartments in Jackson Heights. We build the shareholder and unit owner app, the board room on a phone and the agent's portfolio console, designed for how New York buildings are governed and operated day to day.

New York buildings run on paper more than they should. Purchase applications arrive as thick board packages, alteration agreements circulate by email and the lobby keeps a handwritten package log. One app can carry all of it, with each step recorded for the board and the agent.

Built for
Co-op boards, condo boards of managers and managing agents in the five boroughs and nearby suburbs.
Typical timeline
The board and the managing agent sign off a written first release scope and schedule when discovery ends.
What you own
Source code, store listings, the board and agent consoles and all shareholder and owner data, under your building's accounts.

Inside the app

What a New York building actually needs from an app.

Most residential buildings in Manhattan that are not rentals are cooperatives. Shareholders own stock in a corporation and hold a proprietary lease, and the board has wide discretion over who buys in, who sublets and what renovations go ahead. Condominiums, governed by the Condominium Act in Article 9-B of the Real Property Law and by their own declaration and bylaws, give the board less control over sales but similar day to day duties. Both live with doormen, supers, porters, package rooms, laundry rooms, storage cages and contractors who need certificates of insurance before they set foot in the service elevator, and building staff who need tools that work during a busy morning in the lobby. City rules add facade inspections and building emissions limits that boards must plan and pay for. These are the modules we build for New York buildings, and discovery decides which belong in the first release.

Explain your project
  • Board package submission

Buyers, renters and their brokers upload purchase or sublet applications, financial statements, reference letters and lease drafts in a guided form that checks for missing pages. The managing agent reviews completeness, and board members read the package in the app instead of a binder couriered to their apartments.

Complete packages reach the board sooner and in a consistent order.

  • Interview scheduling and decisions

Once a package is complete, the board proposes interview times, the applicant picks one and directors receive reminders. Decisions are recorded privately, with the agent issuing the formal response from approved templates. Every application is handled through the same steps, which helps the board show it treats applicants consistently under fair housing and human rights laws.

No more scheduling by reply all chains.

  • Alteration agreements

Shareholders and owners submit renovation plans, the architect's drawings, contractor licenses and insurance certificates. The building's engineer, the agent and the board approve in sequence, and work hours, elevator padding and deposit status are tracked until the job closes.

Renovations approved with every required document on file.

  • Lobby package log

Doormen scan or photograph each delivery at the desk, the resident gets a notice right away and signs on a tablet at pickup. Perishable deliveries and oversized items can be flagged so they are not left in the mail room overnight.

Fewer lost parcels and fewer arguments at the desk.

  • Super and porter work orders

Residents report a radiator that will not shut off or a leak from the apartment above, with photos. The super assigns the work, logs parts and time, and the board can see whether a repair belongs to the building or to the shareholder under the proprietary lease. Recurring problems, such as the same riser leaking every winter, show up in reports that feed the capital plan.

Repairs tracked from request to sign off.

  • Facade and emissions compliance

A calendar for the building's facade inspection cycle, sidewalk shed notices, boiler and elevator inspections and Local Law 97 emissions reporting. Boards see upcoming deadlines next to the capital plan, and residents get plain notices when scaffolding or work affects their apartments.

City obligations planned rather than discovered late.

  • Maintenance and charges

Monthly maintenance or common charges, assessments and fees paid by ACH, card, Apple Pay or Google Pay, with statements that separate maintenance from storage, parking and laundry charges. Flip tax and transfer fees can be calculated on closing for the agent to confirm, and arrears appear on the agent's console before they reach the board's monthly report.

Clear statements and fewer calls to accounts receivable.

  • Electronic shareholder meetings

Annual meeting notices, proxies, electronic participation and voting for director elections. New York amended its corporate and condominium statutes to permit electronic meetings, and we configure the app to match what your bylaws allow, checked with building counsel.

Annual meetings with quorum, without chasing proxies door to door.

  • Sublet and occupancy register

Co-ops with sublet limits track which apartments are sublet, for how long and under which approval, and condos record leases and renters for building access. The agent sees when a sublet term is about to end, and the desk knows who is entitled to keys, fobs and deliveries for each apartment.

Sublet policy applied the same way to every shareholder.

  • Amenity and storage bookings

Roof deck, gym, bike room, storage cage waitlists and moving elevator reservations, each with its own rules for deposits and building staff on duty. Waitlists stay transparent, which ends complaints that storage went to a director's friend.

Shared spaces allocated fairly and on the record.

Who this is for

The New York buildings we design for.

A forty unit walk up co-op in Park Slope, a full service tower on the Upper East Side and a new condo with a hotel style lobby in Brooklyn need different apps. So do the managing agents who run hundreds of buildings and the self managed boards that do everything themselves. We start with who will use the app most and build for them first, then add the modules that the board, the agent and the staff ask for once the first release is in daily use.

01

Full service Manhattan co-ops

Buildings with doormen, a resident manager and an active board need package logging, alteration workflows, board package review and a clear channel for building notices. Directors are volunteers with busy careers, so the board side of the app is designed for approvals in a few taps, with private board discussion kept away from shareholders and staff. Shareholders, meanwhile, get one place for house rules, the proprietary lease, financial statements and notices about the next capital project.

Board package review is often the first module.

02

New development condos

Condos in Long Island City, Downtown Brooklyn and Hudson Yards often have many investor owners and renters, along with gyms, lounges and roof terraces. The app separates owners from residents, handles sublet registrations and the board's right of first refusal where the declaration has one, and keeps amenity rules consistent as the sponsor hands control to the owners. Owners abroad pay common charges and follow board decisions without relying on a local friend to forward mail.

03

Garden co-ops and Mitchell-Lama style cooperatives

Outer borough co-ops in Queens and the Bronx often cover several buildings, courtyards and parking. Some limited equity cooperatives also answer to city or state housing agencies with their own reporting and income rules. These communities need multilingual notices in English, Spanish, Chinese or Russian, simple maintenance payments and work orders that span many addresses.

04

Managing agents with large portfolios

Agents running dozens or hundreds of New York buildings need one console with a branded app per building, standard workflows for board packages and alterations, and strict separation between each corporation's records. That lets account executives see every open item across their buildings and shows boards a service they cannot get from a generic portal.

Custom builds help agents win and keep management contracts.

Six stages to a building app residents rely on.

  1. 01Discovery with board and agentVideo sessions covering your proprietary lease or declaration, house rules, alteration agreement, sublet policy and current software, with the agent's staff and the super included.
  2. 02Workflow and counsel reviewBoard package steps, alteration approvals, meeting and voting rules are drafted as workflows and shared with building counsel before design is approved.
  3. 03Design for desk, board and residentsTablet screens for the lobby desk, phone screens for residents and directors, and a web console for the agent, tested with real staff on a real shift.
  4. 04Build and integrateMobile apps, the agent console, payments and links to the agent's accounting system are developed in sprints, with a demo after every cycle.
  5. 05Pilot buildingOne building runs the app first, including a real board package and an alteration, before the agent's wider portfolio moves across.
  6. 06Rollout and supportBuilding by building rollout, staff training for doormen and supers, and releases timed around annual meetings and the city's compliance calendar.

Technology

What we build this with.

We select the stack around your agent's accounting platform, payment processor, intercom or access control vendor and the tablets at the front desk. The usual pattern is a cross platform mobile app with a web console sharing one secure API, hosted in an account the building or agent controls, so records stay put when the board changes agents.

Questions New York boards and agents ask us.

It depends on modules, buildings and integrations, so we quote after discovery.

The main drivers are how many buildings join the platform, whether board package review and alteration workflows are included, the integrations with accounting, intercom and payment systems, and how many languages residents need. Front desk tablets and staff training add work too. We write the scope and the quote once discovery shows what your building or portfolio needs, and we price hosting and support separately so you see the running cost as well.

Tell us what the business needs. We will tell you what to build first.
