Property management apps for US landlords working across several states.

Property management app development USA, for management companies, rental owners and operators whose homes and apartments sit in more than one state. We build tenant apps, maintenance apps and office dashboards that apply federal fair housing and credit reporting rules everywhere, then layer each state's deposit, notice and privacy rules on top, so one platform serves a portfolio from Phoenix to Atlanta.

A national portfolio fails in the gaps between states: a deposit refunded on the wrong deadline, a notice in the wrong form, an owner statement that ignores a local fee. We design the app so those differences live in configuration your team controls, not in staff memory, and so a new state can go live without rewriting the product.

National platform features

What a multi-state rental platform needs to do.

US rental housing is regulated at three levels. Federal law sets the floor: the Fair Housing Act, the Fair Credit Reporting Act, lead paint disclosure for older homes and rules on texting tenants. States decide security deposit limits and refund deadlines, entry notice, late fees, privacy duties and who needs a real estate license to manage property for others. Cities add rent control, registration and inspection programs in some places and nothing in others.

Time zones, climates and housing stock add practical differences too. Winterization matters in Minnesota, hurricane preparation in Florida and the Gulf Coast, and older brick buildings behave differently from new suburban construction. The maintenance side of the product has to reflect that.

A platform for a national portfolio has to hold all three layers without becoming a different app in every state. We build one product with a rules layer per jurisdiction, and the features below draw on it.

Explain your project
  • Jurisdiction rules engine

Each property is tagged with its state, county and city. Deposit caps, refund deadlines, notice periods, late fee limits and required lease addenda are stored as rules per jurisdiction, approved by your counsel, and applied automatically to leases, notices and move-outs. Adding a new state means adding rules, not rebuilding screens.

New markets added without a new app.

  • Fair housing consistent applications

The Fair Housing Act protects against discrimination based on race, color, religion, sex, national origin, familial status and disability, and many states add more protected classes. The application flow asks every applicant the same questions, publishes your written criteria and keeps out fields that invite protected information.

The same standard applied to every applicant in every state.

  • Digital leases with required disclosures

Leases are signed electronically with the addenda each property needs. Homes built before 1978 receive the federal lead-based paint disclosure and pamphlet, and state or city forms such as flood, mold or bed bug notices attach automatically where your counsel says they apply. Signed copies are stored with the tenancy for both parties to download.

Every lease leaves with the disclosures its address requires.

  • Screening with FCRA notices

Applicants consent to background and credit checks run by your consumer reporting agency. When a report leads to a denial, a higher deposit or a co-signer requirement, the app generates the adverse action notice the Fair Credit Reporting Act requires, naming the agency and explaining the applicant's rights, and stores it.

Every adverse decision documented the same way.

  • Reasonable accommodation requests

Residents with disabilities can ask for accommodations such as an assistance animal, a reserved parking space or a modification to their unit. The app logs each request, the supporting documents your policy allows, the interactive discussion and the decision, with dates, so requests are handled promptly and consistently.

A clear record for every accommodation request.

  • Payments built for US rails

Rent arrives by ACH under Nacha rules, by debit or credit card through a PCI DSS compliant processor, or through Apple Pay and Google Pay. Card data never touches your servers. Some states limit fees or require a non-electronic payment option, and the rules engine applies those limits per property.

Rent collected in the ways residents expect, within each state's limits.

  • Consent-based text messaging

Text reminders work, but the Telephone Consumer Protection Act requires the right consent for automated messages. The app records opt-ins and opt-outs per phone number, separates service messages from marketing, and stops texts the moment a resident replies STOP, across every property you manage.

Texts residents want, without consent gaps.

  • Maintenance across regions

Requests from residents in several states route to in-house technicians or local vendors by region and trade. Emergencies such as no heat in a northern winter or no cooling in a southern summer jump the queue. Vendors close jobs with photos, and invoices flow to the owner's ledger.

One maintenance process for every market.

  • Trust accounting and owner statements

Many states require managers to hold owner and tenant funds, including deposits, in separate trust accounts. The dashboard keeps ledgers per owner and per property, produces monthly statements and distributions, and prepares the data your accountants need for year-end tax forms sent to owners and vendors.

Statements owners trust and records auditors can follow.

  • Affordable housing workflows

Properties that accept Housing Choice Vouchers or carry tax credit restrictions need inspection scheduling with the local housing authority, income certifications and recertification reminders. These features switch on only for the properties that need them, so market-rate buildings keep a simpler resident app. Leadership dashboards roll occupancy, delinquency and repair spend up by state and metro.

Program properties managed in the same system as the rest.

Who this is for

Four national operators who outgrow packaged software.

Packaged property platforms serve most single-market firms well. The case for a custom app, or custom modules around your current system, grows with every state you add, every owner type you serve and every process your competitors cannot copy. These are the four national profiles we see most often. In each case we look first at what your current software already does well, and build only what it cannot.

01

Single-family rental operators in many metros

You own or manage thousands of houses across the Sun Belt and the Midwest, leased with self-guided tours and maintained by a mix of staff and vendors. You need consistent leasing, state-specific move-outs and dispatch that understands each metro. We build the rules engine and field app first, then the resident experience. Leasing velocity, turn times and vendor performance are compared metro by metro. Smart lock codes for tours expire automatically after each visit. Regional dashboards show turn times and resident ratings for each metro side by side.

Scale exposes every inconsistency between states.

02

Regional managers expanding into new states

Your firm grew in one state and is now taking clients across a border. New deposit rules, licensing requirements and trust account rules arrive with every expansion. We add each state as configuration, so leasing agents and accountants work the same way while the rules adjust underneath. A state launch checklist covers licensing, trust accounts, lease templates and notice forms before the first owner signs. Owner onboarding forms adapt to each state's management agreement, and new clients see a familiar portal whichever state their homes are in. Your brand stays consistent across every market.

03

Apartment owners with mixed portfolios

You hold market-rate, voucher and tax credit properties in several cities. Each program brings its own inspections, certifications and reporting. We switch program features on per property and keep owner and investor reporting in one dashboard across the whole portfolio. Program staff see only the properties and residents they are responsible for. Investor reports separate program and market-rate income. Compliance staff get reminders for every certification and inspection date, so no program deadline slips while property teams focus on residents.

04

Proptech companies building a product

You are building software for landlords rather than managing homes yourself. You need a product team that understands fair housing, credit reporting and payments as well as mobile development. We work as your build team, with the code, the roadmap and the customer data owned by your company. We can also help design the multi-tenant architecture so each customer's data stays separate. We can also prepare the security documentation larger landlord customers will ask for during their purchasing process.

Your product, your intellectual property.

How a national property app is planned and rolled out.

  1. 01Portfolio and state mappingBy video call we list your states, cities, property types, programs and current systems, and agree which markets launch first. Success measures are agreed here. Regional managers join to describe local practice.
  2. 02Rules with counselYour attorneys confirm federal, state and local rules for each launch market, and we turn them into configuration with clear owners for future updates. Rules carry an effective date.
  3. 03Product designTenant, maintenance, office and owner screens are designed once, with state differences shown as rules rather than separate versions. Usability tests include residents. Accessibility checks run on every screen.
  4. 04Build and integrationsWe connect accounting, payment processors, screening agencies, listing feeds and smart locks, testing each against sample data from several states. Failures are tested as well as successes.
  5. 05First market launchOne state or metro goes live, and real usage tests rules, dispatch and payments before the next market joins. Staff feedback drives fixes. Metrics are reviewed with your leadership.
  6. 06Market by market expansionRemaining states roll in on a schedule, each with its own rule review, staff onboarding and data migration. Each market gets a short review after launch. Lessons from earlier markets shorten each new launch.

Technology

What we build this with.

Cross-platform tenant and maintenance apps, a web dashboard, and cloud hosting in your own account. State privacy laws such as the California CCPA and the Texas TDPSA shape how we handle data access, deletion and consent, and accessibility follows WCAG so residents with disabilities can use every screen. Audit logs record who viewed or changed sensitive records.

Questions national property firms ask.

We plan it market by market after discovery.

The first market carries most of the build effort: the core apps, the rules engine and the integrations. Later states mainly need rule configuration, data migration and staff onboarding. Schedules depend on how many integrations are involved, how clean your data is and how quickly counsel confirms each state's rules. We put the plan in writing after the video discovery sessions. Launching in one state first lets real usage shape the product before national rollout.
