Senior care apps for New York agencies whose aides travel by subway and bus.

Codeeo handles senior care app development New York home care agencies, assisted living residences and family caregivers use across the five boroughs. We build apps for aide scheduling by transit, visit notes, medication reminders and updates for relatives who may live in another borough or another state. An aide leaving a client in Washington Heights sees the next visit in Inwood, the care plan and building entry notes, and the coordinator sees the visit close in real time.

We design for the way New York care actually works: walk ups and elevator buildings, doormen and buzzers, many home languages, and a state Medicaid system with its own EVV and fiscal intermediary rules.

Inside the app

Built for transit routes, tall buildings and New York State rules.

Most US care scheduling software assumes aides drive. In New York City many do not. They ride the subway, take buses across Queens or walk between buildings on the Upper West Side, so travel time depends on lines, transfers and service changes rather than road distance. Buildings matter too: an aide needs to know whether to ring 4F, ask the doorman or use a side entrance for the elevator.

On top of that, New York State regulates home care through the Department of Health, verifies Medicaid visits through its own EVV aggregator, and routes consumer directed care through a statewide fiscal intermediary. The capabilities below are chosen for that environment. We usually ship the aide app and coordinator board first, then add family and client features in the following releases.

Explain your project
  • Transit based scheduling

Coordinators plan visits around subway and bus travel, with estimated door to door times between addresses and a buffer for transfers. Split shifts in Brooklyn and a late visit in the Bronx can be checked against realistic travel before they are offered to an aide. Weekend service changes and late night gaps on certain lines are factored in by the coordinator, who can override any estimate with local knowledge.

Schedules aides can actually keep on public transit.

  • Building and entry notes

Each client record holds the details that save ten minutes at the door: apartment number, buzzer code, doorman instructions, elevator or stairs, and where to find the spare key arrangement. Notes appear only to the assigned aide during the visit window and are hidden afterwards. Every view of those notes is logged.

Aides get in quickly and clients feel safe about who has access.

  • eMedNY EVV submission

For Medicaid personal care and home health visits, the app captures the six federal EVV data points and formats them for the New York State EVV aggregator through eMedNY. We plan API testing, enrollment and your annual attestation requirements with your compliance lead before building.

Medicaid visits verified from the same app aides already use.

  • Plan of care task lists

Tasks come straight from the client's plan of care set by your nursing supervisor: bathing, meal preparation, ambulation, reminders and housekeeping. Aides tick each one or record why it was not done, and anything outside the plan prompts a call to the office rather than improvisation.

Visit notes that match the plan of care your surveyor reviews.

  • Medication reminder records

Aides record each reminder as given, declined or unavailable, while nurse administered medication stays in your clinical system. Clients who live alone can receive a reminder on a simple phone screen or tablet, with a large confirm button and an alert to family if it is ignored.

    Fewer missed doses between visits.

  • Multilingual aide and family screens

New York aides and families speak Spanish, Chinese, Russian, Haitian Creole, Bengali, Korean, Polish, Yiddish and more. The app is built so each person sees their own language, with structured fields that keep records consistent and free text stored exactly as typed.

Clear records whatever language the aide or family speaks.

  • Family circle across states

Many adult children live in New Jersey, Connecticut or farther away. With the client's consent, they see visit summaries, the week's schedule and messages from the coordinator, and they can flag concerns that go to the care manager on duty instead of a general inbox. Each relative's access can be limited, for example schedule only for a grandchild and full summaries for the health care proxy.

Distant relatives stay close to their parent's care.

  • Assisted living resident app

For assisted living residences and adult care facilities, residents and families see activities, dining, appointment transport and service requests. Staff use the same platform to log daily assistance, incidents and room checks, organized by floor and shift. Families can book visits and send a message to the front desk without calling during the busy morning medication round.

A single place for residents, families and staff.

  • Aide compliance and in-service tracking

Health screenings, training certificates, annual in-service hours and competency checks are tracked per aide, with reminders well before anything lapses. The scheduler warns before assigning a visit to an aide whose requirements are incomplete.

Personnel files ready whenever DOH surveyors call.

  • Coordinator board and payer reports

Coordinators see every open, late and completed visit across boroughs on one board, filtered by payer, team or language. Administrators get hours by managed long term care plan, missed visit reasons and aide retention, with exports for billing and payroll drawn from the same visit records that went to EVV.

Billing, payroll and EVV agree because they share one source.

Who we build for

Four New York care operators and what each needs first.

New York's care sector is dense and varied: a small LHCSA in Flushing, a certified home health agency covering Manhattan and the Bronx, an assisted living residence in Westchester, and families coordinating care across three boroughs. As senior care app developers New York operators can call on, we shape the first release around the starting point rather than a fixed package. A senior care app development company New York agencies hire should also know when a packaged home care system is the better choice, and we will say so.

01

A Licensed Home Care Services Agency

LHCSAs are licensed by the New York State Department of Health and often serve both Medicaid managed long term care members and private pay clients. Your app needs aide scheduling, plan of care tasks, EVV and clear payer separation. We begin with the aide app and coordinator board, then add family features once visit data is reliable. NYC Aging also funds home care for some older New Yorkers who do not qualify for Medicaid, so agencies holding those contracts can keep that client group separate in reports.

We confirm current DOH and EVV requirements with you before the scope is fixed.

02

A certified home health agency with nurses and aides

CHHAs combine skilled nursing and therapy with aide services. Clinical documentation usually stays in the EHR you already use, while the app handles aide tasks, scheduling and family communication. We integrate with your EHR where it offers an API so nurses do not enter the same information twice. Supervisory visits and aide competency checks can be scheduled in the same board as client visits.

Skilled clinical charting stays where your nurses already chart.

03

An assisted living residence or adult care facility

These settings are also overseen by the Department of Health in New York. Operators want a calmer front desk and families who feel informed. We build resident and family apps for activities, requests and updates, and a staff app for daily assistance and incident records. Residences on Long Island or in Westchester often serve families who drive in at weekends, so visit booking and guest notices are popular early features.

Family visibility is set resident by resident.

04

A caregiver or family coordination startup

Products that help families share tasks, hire help or keep a medication list may fall outside HIPAA. New York's SHIELD Act still requires reasonable security and breach notice for private information, and the FTC's health breach rule can apply to consumer health apps. We build those safeguards in from the first version, with clear consent screens written for older users and their families rather than for lawyers.

Security duties apply even when HIPAA does not.

From first call to an app your aides open every shift.

Questions New York care providers ask us.

Aide scheduling, visit notes and EVV, in most cases.

Those three features touch every visit and every Medicaid claim, so they bring the fastest relief to coordinators and billing staff. Family updates and resident apps come next. We confirm the order in discovery by looking at where your office loses the most time today, which is often phone calls about late aides and missing notes. Starting narrow also makes training easier for aides who are new to smartphone apps at work.
