One senior care booking platform that works across every state you serve.

Codeeo provides senior care booking website development USA home care brands, franchise systems and senior living groups use to sell care online in many states at once. Families find the nearest location, see services and prices that apply there, reserve visits or respite stays and pay through a checkout that follows that state's rules. Head office sets the brand, the terms framework and the reporting; each location keeps its own calendar, caregivers and merchant account.

A national platform has to respect differences it cannot flatten: licensing that varies from state to state, privacy laws that apply in some states and not others, and tax rules that changed after the Supreme Court's Wayfair decision. We build the booking and payment layer; care decisions remain with your licensed staff.

Platform capabilities

What a multi-state care booking platform needs underneath the checkout.

A single agency can manage with one calendar and one set of terms. A brand operating in a dozen states cannot. Each location has its own license status, caregivers, rates, cancellation rules and sometimes its own legal entity and bank account. Families still expect one brand experience: search, compare, book, pay. The platform has to hold both truths, so we separate brand wide configuration from location settings and build the booking engine to read from both. Here are the parts that make that work, chosen for groups that already run more than one location or plan to soon. Groups with only two or three locations today can still start here, as long as the plan to add states is real.

Explain your project
  • Location finder and territory routing

A family enters the care recipient's ZIP code and is routed to the location that holds that territory. Franchise territory maps are stored in the platform, so leads and bookings go to the right owner, and areas nobody covers show a waitlist rather than a dead page. When two locations share a border, routing rules decide by ZIP code, capacity or the family’s choice, and the decision is logged for any territory dispute.

Every booking reaches the location entitled to it.

  • State and location rule sets

Rates, minimum visits, notice periods, deposit amounts, required disclosures and service lists are set per state and per location, inheriting brand defaults where nothing local applies. A change in one state's disclosure wording updates every location there at once. Legal reviews happen once per state rather than once per office, which keeps counsel costs proportionate as you grow.

Local rules without separate sites for every office.

  • Split payments to each location

Using a platform payments setup such as Stripe Connect, each franchisee or subsidiary receives payment into its own merchant account, while head office can collect royalties or platform fees automatically. Card data stays with the processor to keep PCI DSS scope narrow. Refunds and chargebacks are drawn from the location that took the payment, with head office notified.

Money lands with the business that delivered the care.

  • Recurring care plans and renewals

Weekly hours, monthly companionship plans and respite credits can renew. Renewal terms, price and the online cancel route are shown before the family agrees, which reflects the federal ROSCA rules and the stricter automatic renewal laws several states have passed. Families can pause plans for a hospital stay or travel without cancelling, if your policy allows it.

Recurring revenue that holds up to scrutiny.

  • Sales tax by location

Whether a care service, a booking fee or a product sold alongside care is taxable depends on the state and sometimes the city. We connect a tax engine or your accountant's rules per location, so every invoice carries the right tax line and the reports support each filing. Exempt customers, such as certain nonprofit buyers, can be flagged per account where your adviser agrees.

Tax handled per state rather than guessed nationally.

  • Privacy controls by state

Consent capture, data minimization, retention periods and consumer request handling are built once and switched on where state privacy laws apply, including stronger rules for health related data. HIPAA safeguards are added where your locations act as covered entities.

One privacy framework that adapts to each state.

  • Accessible booking flows

Booking and checkout screens are designed and tested to WCAG 2.2 AA, which also meets the WCAG 2.1 AA standard HHS adopted for recipients of its funding under Section 504. Large type, keyboard paths and clear errors help older users and their relatives alike.

Fewer abandoned bookings and less legal exposure.

  • Head office and location consoles

Location staff manage their own bookings, caregivers and refunds. Head office sees conversion, revenue, cancellations and response times across every location, and can compare states or regions without asking each owner for a spreadsheet. Role based access stops one franchisee from seeing another’s customers or revenue.

Brand level insight with local control.

  • Brand content with local pages

Head office owns service descriptions, policies and brand pages. Each location adds its team, coverage area, local contact details and reviews within set fields, so local search pages stay unique without breaking brand standards. Location pages carry structured data for each address so search engines understand where you operate.

    Consistent brand, credible local pages.

  • Integration with care management systems

Confirmed bookings create clients and shifts in your home care or senior living software, and approved hours or completed stays trigger charges. Where locations use different systems after an acquisition, we build adapters for each. Data flows are documented per location, so an auditor or a new owner can see exactly what moves where.

No double entry between the website and operations.

Who this is for

Four types of US care business that need a national booking platform.

A national booking and payment platform pays off when growth has outrun what local sites and phone intake can handle. The common thread is many locations, many rule sets and one brand promise to families. Medicaid, VA and other program funded care keep their own authorization and EVV processes, and the platform keeps them out of the consumer checkout.

01

A home care franchise system

Your franchisees each run a separate business with its own license where their state requires one, its own merchant account and its own territory. You want families to experience one brand and owners to keep their revenue. We build territory routing, split payments, location consoles and franchisor reporting on one codebase, so new franchisees launch by configuration rather than a new website. Franchise disclosure and agreement terms stay with your lawyers; the platform simply enforces the territory and fee rules they define.

New locations go live by configuration.

02

A multi-state home care group built through acquisitions

Acquired agencies arrive with their own websites, rate sheets and software. We consolidate them under one booking platform with state rule sets, keep each company's merchant account where that is needed, and connect to the different care systems until you standardize. Families stop meeting a different booking process in every market. Old sites redirect to the new location pages so search rankings built over years are kept.

03

A senior living operator with respite in many states

Respite and short stays are a useful way to fill vacancies and introduce families to a community. A national platform lists respite inventory by community, takes deposits, books tours and routes each reservation to the right admissions team, while admission decisions stay local. Pricing for respite often differs by community and season, and each community controls its own inventory and rates within brand rules.

04

A care marketplace selling to families nationwide

If you connect families with independent agencies or caregivers, the platform needs provider onboarding, license checks by state, commission rules and payouts on top of booking. We plan that as a marketplace from the start rather than adding it to a single agency site later. Reviews, dispute handling and provider suspension tools are planned alongside payouts.

Marketplace rules belong in the first design.

Six stages from pilot locations to a national rollout.

  1. 01National discoveryBy video call we review your locations, states, legal entities, payment flows, existing systems and brand standards, and pick a pilot group that represents the hardest cases.
  2. 02Rule and configuration modelBrand defaults, state overrides and location settings are designed as data, so most future differences are handled by configuration rather than code.
  3. 03Design system and checkoutReusable components, accessible booking screens and a checkout that adapts to state disclosures, reviewed with head office and two or three pilot locations.
  4. 04Platform build and paymentsBooking engine, consoles, split payments, tax connection, privacy controls and integrations built and tested against pilot data in a staging environment.
  5. 05Pilot launchPilot locations go live, real bookings and payments are monitored, and fixes are made before the wider rollout begins.
  6. 06Rollout in wavesStates and locations join in planned waves, with old site redirects, location training by video and reporting checked at each step.

Questions US care brands ask about a national booking platform.

A shared platform with state and location rules layered on top.

The work covers brand and location pages, a booking engine that reads brand, state and location settings, payments routed to the right merchant account, privacy and tax handling by state, and consoles for head office and each location. We start with a pilot group of locations so the rule model is tested against real bookings before the wider rollout.
